JOB SUMMARY
The Program Assistant will perform basic office tasks and provide administrative and organizational help to senior leadership members, and provide reliable support to office visitors, employees, and clients. Duties will include answering phone calls, scheduling, data entry, researching, auditing, and maintaining records. The Program Assistant may also be involved in tasks like managing calendars, preparing materials, preparing meeting rooms, performing errands, ordering supplies, and assisting with program outreach. The Program Assistant works well under pressure, adhering to deadlines.
WORK SCHEDULE
Monday through Friday from 9:00 am to 5:00 pm. Consistent and predictable attendance is required.

TASKS, DUTIES, AND RESPONSIBILITIES
Basic Office Tasks:
Performing data entry, receiving packages, sorting mail, operating office machines, and arranging equipment or vehicle maintenance and repairs.
Communication:
Answering and directing phone calls, documenting phone calls, writing and distributing emails, and providing general support to visitors.
Interpersonal:
Maintaining positive relationships with co-workers, clients, and vendors. Demonstrating reliability and exhibiting leadership qualities.
Filing:
Updating, maintaining, and organizing physical or digital records.
Conducting Audits:
Assist with reviewing and tracking documentation to help resolve issues related to information on: Existing documentation. Missing documentation. Outdated documentation.
Scheduling:
Maintaining meeting and appointment calendars and taking meeting minutes as assigned.
Supplies:
Ordering office supplies and maintaining an inventory of supplies. Ensuring restrooms are always stocked with necessary toiletries.
Research:
Researching information for a variety of purposes.
Contact lists:
Maintaining, updating, and distributing contact lists.
Organization:
Maintain a tidy and organized work environment including assigned work area and desk, reception area, meeting rooms, restrooms, and break rooms.
SKILLS AND QUALIFICATIONS
Communication:
Strong written and verbal communication skills. Professional telephone and email etiquette.
Organizational Skills:
Ability to manage multiple tasks, prioritize effectively, and maintain accurate records.
Technical Skills:
Proficiency with computer software and office equipment.
Problemsolving:
Ability to identify issues and implement solutions.
Collaboration:
Ability to work effectively with others and build relationships.
KNOWLEDGE AND EDUCATION
Prior experience in administrative assistance is required. The ability to read, write and understand the English language. Working knowledge of administrative/clerical procedures and systems. Strong analytical, problem solving, and critical thinking skills. Satisfactory national background check and fingerprinting. Valid Georgia driver’s license and satisfactory driving record. First Aid/CPR AED certifications. Negative Tuberculosis screen. High School Diploma or
GED. PHYSICAL REQUIREMENTS / WORK ENVIRONMENT
This job operates in an office setting. While performing the duties of the job, the employee is required to frequently stand, walk, sit, stoop, reach, bend, twist, kneel, push, and pull for periods of time as well as see, talk, and hear. The employee may frequently move to interact with fellow employees, visitors, and/or clients. Additionally, the employee may be required to lift objects weighing up to 50 pounds.
