Duties Description Under the supervision of a Captain assigned to the Special Operations Unit located at Division Headquarters, the incumbent of this position will: Supervise lower-level clerical support staff assigned to Special Operations at Headquarters, as well as providing functional administrative oversight of specialty unit activities.
This includes coordinating required training across the state by securing training facilities, making hotel, flight, and vehicle reservations, preparation of travel vouchers, and preparing and maintain staff training schedules.
Maintenance of all Special Operations training records in SLMS and other electronic filing systems. Retrieves and submits verification of training records upon demand.
Collect and coordinate member abstracts for Basic School tryouts; prepare and provide leadership with information packets used during the evaluation process; develop and maintain electronic tracking system for those approved/denied entry into Basic Schools.
Collect and track unit member performance evaluations; issue reminders to supervisors for overdue performance evaluations.
Assist with development and creation of materials/documents used during Basic Schools; prepare and distribute graduation ceremonial invitation, programs; plan, coordinate, and schedule graduation with various stakeholders (academy staff, food vendors, etc).Prepare and maintain special unit personnel files which includes supervisory notes, letters of commendations, disciplinary actions, promotions and transfers; collect and track unit medical records.
Prepare and maintain Discovery files; prepare and send encrypted information in response to requests for information from District Attorneys in support of criminal proceedings.
Provide administrative oversight and support of Special Operations unit fleet vehicle maintenance; enter, retrieve and organize fleet information entered into FleetWave database (fuel, VIN#s, odometer readings, etc); order, collect , track and distribute various parking tags and placards; procure, distribute and track gas cards for the unit.
Collect and coordinate information regarding Special Operations unit law enforcement actions; prepare and distribute periodic and ad-hoc reports as requested/needed; respond to urgent requests from command staff; ensure case information is entered in required databases.
Ensure contact information is updated for all emergency personnel, personnel rosters, and charge lists.
Manage the purchasing of supplies, uniforms, and equipment for the unit; research vendors and prepare cost analysis; work with vendors to ensure timely arrival of equipment and resolves any issues; coordinates the delivery and installation of new equipment with command staff; schedules and coordinates uniform fitting and equipment testing as needed.
Work on special projects as assigned by command staff. The minimum qualifications required for this vacancy. Minimum Qualifications One (1) year permanent service as a New York State Employee with one (1) year of service in a title allocated SG-9 or higher,ANDDemonstrate knowledge of appropriate clerical skills, knowledge of proper office procedures.
ANDMust be proficient in the operation of personal computers and various software including Microsoft Word, Outlook and Excel.
