The Program Assistant will support the Career Counselor and the program under the MaturityWorks program in Providence, RI. The Program Assistant supports the program through a variety of activities, including, but not limited to, review of participant eligibility, database management and file maintenance, employer outreach, processing payroll documentation, and general customer service. The Program Assistant must acquire working knowledge of grant/program requirements and services in order to they can assist staff with a variety of functions.
ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following:
Ensure completeness and accuracy of participant eligibility and financial assistance files prior to submission to the Career Counselor for approval; process and file approved files.
Assist staff with the preparation, review, and reconciliation of program-required reports.
Coordinate weekly conference calls and monthly meetings for both line staff and managers.
Reserve rooms, prepare meeting packages, and take meeting notes.
Develop and maintain the tracking log in accordance with grant/program parameters to ensure timely submission of required reports by program staff.
Assist staff with scheduling participant appointments, conduct follow-up and communications as required.
Respond to program inquiries received and convey information to the appropriate staff member.
Conduct employer follow-ups and assist with employer engagement.
Implement participant engagement strategies to support employment retention and facilitate connection to support services.
Monitor participant durational limits and notify staff when preparation needs to begin for participant exits.
Collection and reconciliation of participant timesheets and submission to the finance department.
Review participant intake and recertification documentation for compliance with grant requirements and implement data validation.
Proactive and focused support of the MaturityWorks team and Program Manager on a day-to-day basis with accuracy, efficiency and the ability to multitask being essential.
Maintains common office equipment, schedules maintenance and repairs as needed.
Perform other duties as assigned by supervision.
ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following.
General logistics support for MaturityWorks program.
Compiles and analyzes information and data regarding the grant for programmatic reports.
Acts as a subject matter expert with the capability to respond to inquiries from participants, partners, employers, and members of the community.
SUPERVISORY RESPONSIBILITIES
Responsible for own work and not required to direct or supervise other personnel, but may occasionally instruct or show another employee how to perform specific tasks.

EDUCATION and/or
EXPERIENCE
An Associate’s Degree or 1-year related experience, and/or training; or equivalent combination of education and experience.
COMPUTER SKILLS
The ability to understand more advanced computer skills and be proficient in the advanced knowledge of software such as: Efforts to Outcomes, SCSEP Performance and Results Database, Microsoft Word, Excel, PowerPoint, Access.
OTHER SKILLS AND ABILITIES
Bilingual (Spanish) is desirable.
