This position works an average of 15-20 hours per week. The work schedule can be flexible, but this position may be asked to attend special events outside of normal business hours, as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Provides office and administrative support for two (2) Healthy Families sites: o Answers and routes phone calls; monitors and responds to general office voicemails o Monitors and maintains inventory of office and program supplies o Orders supplies and ensures timely delivery; verifies receipt and communicates with vendors as needed o Coordinates shipping and delivery of materials and technology in collaboration with managers o Offers hiring support to hiring managers, e.g., review resumes, screen applicants, coordinate interview dates and times, etc. o Provide support during state-led site visits , including preparing documentation, organizing materials, coordinating logistics, and assisting the team with any administrative needs before, during, and after the visit o Support the referral process by tracking incoming referrals, entering data into appropriate systems, and communicating with program staff to ensure timely follow-up and assignment o Tracks and supports progress on special projects, as assigned Attends regional meetings and create records of events as requested Maintains regular and reliable attendance while accurately recording and managing time keeping records to ensure seamless operations and contributions to team productivity Upholds and promotes the organization’s values, mission, and ethical standards in all interactions and decision-making processes to foster a positive and principled workplace culture. Represents the agency at community, civic, or other public functions Follows organizational and programmatic policies Completes other duties as assigned
QUALIFICATIONS
Strong ability to self-direct daily work tasks and practice effective time management Strong written and verbal communication skills and ability to collaborate as part of a team Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail Very strong interpersonal skills and the ability to manage priorities and relationships with multiple stakeholders Demonstrated proactive approaches to problem-solving with strong decision-making capability Emotional maturity A good balance between a resourceful team-player and the ability to be extremely effective independently Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe, email, internet, and Canva Reliable transportation and valid driver’s license
EDUCATION AND/OR EXPERIENCE
Graduation from an accredited high school or equivalent program with administrative support experience.

Employees are required to remain alert and engaged to safely operate vehicles and ensure the safety of others. The work environment includes indoor office environments or comparable spaces and community spaces. The noise level varies by sites and meetings.
