Program Assistant for Communication & Family Support School’s Out! 1025 Airport Drive, South Burlington, VT 05403 Job Summary The School’s Out Program Assistant for Communication and Family Support is vital in supporting multilingual families across the district. The Program Assistant provides direct in-person support to families, including assistance with confidential and time-sensitive documentation, and serves as a liaison between schools and community resources. This position requires a high level of cultural competence, strong communication and organizational skills, and the ability to navigate cross-cultural contexts. Collaboration with school district personnel will be important. Duties 1. Provide cross-cultural communication support to families and school staff Design and implement culturally responsive communication strategies that honor diverse family structures and communication preferences 2. Assist families in completing time-sensitive and confidential paperwork in person Guide families through after school program registration and enrollment processes Explain program agreements, pick-up procedures, and emergency protocols Assist with completion of medical forms and emergency contacts Ensure confidentiality while explaining disciplinary policies and behavioral support plans 3. Collaborate with district departments and community organizations to connect families with essential resources: Facilitate connections to transportation services for after school program participation Connect families with tutoring services, mentorship programs, and academic support resources 4. Serve as a cultural and linguistic bridge between families and School’s Out Explain after school program philosophy, activities, and academic support in culturally relevant ways Address conflicts between family expectations and program policies with cultural sensitivity Develop culturally appropriate after school program materials and family communication in collaboration with the Program Assistant for Quality and Complianceto reflect and celebrate the diverse backgrounds of program participants 5. Maintain accurate and organized records in compliance with district and privacy standards Create and maintain confidential student files for after school program participants Document daily attendance and success of ML students in after school settings Ensure FERPA compliance for all after school program student records and family communications Generate reports on student participation, family engagement, and program outcomes 6. Attend weekly School’s Out Administration meetings Attend meetings across the district as needed 7. Develop communication plans and strategies to include the use of digital tools and platforms to communicate with families and staff Manage after school program communications through parent portals and district messaging systems Support the creation and distribution of multilingual after school newsletters, and program updates Provide technical support to families accessing after school registration systems and program resources 8. Other special projects and duties as assigned. Mediate cultural misunderstandings between families and school personnel Provide staff training on culturally responsive communication practices Qualifications 1. Bachelor’s Degree in Education, Child Development, Family Studies, Multilingual Education, Applied Linguistics, Social Work, or related discipline required. 2. TESOL Certification with demonstrated application in youth programming or educational settings also required. 3. Ability to speak another language in addition to English preferred (For example: French, Spanish, Nepali, Swahili, Somali, and/or Mai Mai). 4. Previous experience in family or community engagement roles, a background in education, social work, or public service environments is desirable. 5. Familiarity with school district operations and community-based resource navigation would also be beneficial. 6. Demonstrated cultural competence and sensitivity. 7. Effective organizational and time management skills and the demonstrated ability to manage multiple tasks are required. 8. The ability to communicate clearly and concisely, both orally and in writing, is essential. 9. Demonstrated high attention to detail and accuracy. 10. Ability to maintain confidentiality. 11. Technologically proficient, with experience using tools such as: Microsoft Office Suite, PowerSchool, Playground, Talking Points, TIN or similar interpretation platforms, Language Line. 12. Reliable transportation to travel to various locations within the district. 13. Ability to perform duties with awareness of all District requirements and School Board policies as it relates to the job responsibilities is essential. 14. Demonstrated ongoing commitment to workplace diversity, sustainability, and delivering exceptional customer service is essential.
