General Description The purpose of this position is to apply generally accepted accounting principles and procedures in working with specialized accounting records and reports for the University’s Foundation operation. The position will be responsible for audit and tax returns, ensuring the organization complies with grant and scholarship awards and creates accurate and timely financial statements. The role ensures the integrity of accounting information by recording, verifying, allocating, reconciling, consolidating, and entering transactions. The role oversees the scholarship management process for the UM Foundation. Essential Job Duties Works with administrators across the organization in preparing for the annual audits and Form 990 and the financial aspects of grant monitoring and reporting.
Maintains general ledger (G/L), including reconciliation of G/L account balances, and assists with month-end and year-end closings.
Assists in the development and maintenance of financial policies and procedures and the documenting and monitoring of key internal control procedures.
Adheres to internal control requirements, including journal entry posting guidelines and monthly account balance updates through adjusting entries.
Analyzes financial information and summarizes financial status.
Reconciles all bank and investment statements; posts monthly activity to ensure bank accounts balance to the general ledger.
Distributes endowment and financial reports for donors.
Prepares monthly and quarterly financial and grants reports and Foundation Board reports in accordance with generally accepted accounting procedures.
Provides staff support to the Foundation Finance Committee and all other financial support needed to aid various committees and the Board in their decision-making.
Responds to requests for information and provides miscellaneous revenue/expenditure reports and attends Foundation Board and committee meetings as requested.
Provides the monitoring and reporting of grant funds to ensure compliance with grant requirements, and ensures that expenditures are consistently aligned with related grants and program budgets.
Assists with pre-award budget development and performs post-award budget revision reporting for grants.
Prepares and maintains reimbursement expenditure reports for grants, performs regular grant closures, and reconciles monthly grant reports and cash requests to monitor final grant reports for consistency to funding requirements.
Assists in the planning, design, development, and monitoring of budgets for both the Foundation and college grants and assists the executive director in providing long-range financial forecasts for the Foundation.
Reviews and approves various transactions, reimbursement requests, and internal and external reports relative to grants accounting.
Stays abreast of state and federal regulations concerning laws and regulations governing external funding programs; researches and interprets federal and state regulations and disseminates as directed; regularly reads, analyzes, and interprets current laws, regulations, guidelines, policies, and procedures, which affect the administration of external funding programs; makes timely changes in work routine to adhere to new rules and regulations; follows established legal and agency guidelines in performing duties; develops/updates internal policies and procedures as needed to support grant compliance.
Maintains compliance records and files; maintains and monitors funded-programs reporting calendar; maintains an archive of submitted program reports.
Open new accounts for the Foundation and ensure proper documentation relating to account purpose/criteria is filed accordingly. Attend committee meetings as needed.

Knowledge, Skills and Abilities Experience with all aspects of yearly audits and with Financial Edge or similar accounting software; Knowledge of non-profit accounting;
Knowledge of basic office policies and procedures;
Customer service skills, competent math skills, and above-average grammar skills;
Ability to communicate effectively orally and in writing;
Knowledge and understanding of accounting principles;
Ability to design, analyze, and prepare financial reports;
Knowledge of integration of financial software programs;
Knowledge of and experience working with fund accounting;
Experience with accounting software programs, both the general ledger and accounts payable (preferably Financial Edge software) Education and Experience The educational requirement for this position is: Bachelor’s degree in Accounting
