GENERAL DESCRIPTION

We are seeking a motivated accountant with a desire for continuous learning who will play a key role in maintaining financial records for a growing nonprofit organization with a budget of $100+M, ensuring compliance with nonprofit accounting standards, and supporting the preparation of financial statements. This role requires strong attention to detail and a commitment to maintaining transparency and accuracy in financial reporting. It will involve heavy cost accounting principles, and someone who will be prepared to learn the intricacies of government regulations.

MAJOR RESPONSIBILITIES
General Ledger Management:

Assist with the maintenance and reconciliation of the general ledger. Record and post journal entries accurately and timely. Ensure proper coding of transactions according to nonprofit accounting principles. Reconcile balance sheet accounts and resolve discrepancies.

Financial Reporting:

Prepare monthly, quarterly, and annual financial statements in accordance with GAAP (Generally Accepted Accounting Principles) and nonprofit-specific accounting guidelines. Assist in the preparation of reports for management, the Board of Trustees, and external stakeholders. Prepare supporting schedules for the financial statements, including revenue and expense tracking.

Grants and Restricted Funds Management:

Track and report on restricted and unrestricted funds, ensuring compliance with grant requirements and donor specifications. Maintain accurate records of all grant-related transactions and reporting schedules. Assist in the preparation of grant financial reports and invoices for funders and partners. Assist in budget preparation, deferred revenue accounting, and performing monthly account reconciliations to ensure compliance with funding requirements and organizational policies.

Accounts Receivable:

Process accounts receivable transactions in a timely and accurate manner. Assist with the collection of outstanding receivables and follow up with donors and partners as needed. Prepare write-off requests and submit for approval as needed.

Lease Accounting:

Administer and maintain lease accounting processes in compliance with ASC 842, including lease classification, data entry, and periodic reconciliations using lease accounting software.

Prepaid Expenses:

Oversee the tracking and monthly amortization of prepaid expenses to ensure accurate expense recognition and proper accounting treatment in accordance with GAAP.

Cash Receipts:

Record cash fees and receipts and reconcile deposits with the donor management subsystem to ensure accuracy and completeness of revenue reporting.

Self-Funded Health Plan:

Record funding transfers and claims transactions related to the self-funded health plan, ensuring timely and accurate accounting in alignment with plan requirements and financial reporting standards.

In-Kind Contributions:

Record and monitor in-kind contributions, ensuring timely recognition and reconciliation to source systems and supporting documentation in compliance with GAAP and donor requirements.

Cost Allocations:

Manage cost allocations across multiple grants and locations to ensure accurate expense distribution in accordance with grant agreements and organizational policies. Prepare necessary adjusting journal entries to close periods.

Month-End and Year-End Closing:

Assist with the month-end and year-end closing processes, ensuring all transactions are recorded accurately. Support the organization’s annual audit by preparing schedules, providing documentation, and responding to auditor inquiries related to grants, contracts, and general ledger activity.

Compliance and Tax Filings:

Support the preparation of annual IRS Form 990 and other nonprofit-specific tax filings. Stay updated on nonprofit financial regulations and ensure that the organization remains in compliance with federal, state, and local requirements. Assist with the preparation of sales tax returns, if applicable.

Budgeting and Forecasting:

Assist with the development of the organization’s annual budget and forecasts in collaboration with the Budget Manager/Director. Monitor budget vs. actual performance and report variances to management.

Internal Controls and Financial Policies:

Help ensure adherence to internal controls and financial policies. Support the development of financial procedures and best practices in the nonprofit sector.

Special Projects and Support:

Provide financial data and analysis for special projects and organizational initiatives. Assist with the implementation of new accounting systems or improvements to existing systems. Requirements:
QUALIFICATIONS

Bachelor’s degree in Accounting, Finance, or a related field (required). Strong understanding of basic accounting principles and concepts (GAAP, financial statements, journal entries, etc.). Knowledge of nonprofit accounting standards, including tax-exempt regulations and IRS Form 990 filing is a plus. Commitment to ongoing professional development.

SKILLS, KNOWLEDGE, AND ABILITIES

Proficiency in Microsoft Excel (experience with functions like VLOOKUP, pivot tables, etc.). Familiarity with accounting software (e.g., NetSuite, Sage Intacct, Microsoft Dynamics, or similar systems) is a plus. Ability to quickly learn new software and tools. Strong focus on accuracy and detail, especially when reviewing and reconciling financial data. Good written and verbal communication skills to interact with team. Ability to explain basic financial data to non-financial colleagues. Ability to manage multiple tasks and meet deadlines in a fast-paced environment. High level of integrity and understanding of the importance of confidentiality in handling financial information. Awareness of professional and ethical standards in accounting. Desire to learn and grow in the profession.

Valid Driver’s License Certificates of acknowledgement required: Conflict of Interest, Code of Ethics, Confidentiality agreements, IT Systems and Security, Anti-Fraud, HR Employee Acknowledgement Form.
