Full Job Description Job Summary:
We are seeking a highly organized and detail-oriented Administrative and Accounting Specialist to join our finance team. While the primary focus of this position is accounting, the role will also include general administrative responsibilities to support the broader organization and ensure smooth day-to-day operations. This individual will support AR/AP functions, participate in accounting activities, and assist the executive team with administrative duties. The ideal candidate will have hands-on experience with QuickBooks and a solid understanding of accounting principles. A background in finance or accounting is preferred. Accounts Receivable (AR):
- Manage invoicing and maintain accurate customer records.
- Reconcile customer accounts.
- Generate AR aging reports and assist with collections. Accounts Payable (AP):
- Manage the full AP cycle, including invoice processing, vendor payment processing, and maintaining vendor records.
- Review and verify vendor invoices for accuracy and resolve discrepancies.
- Process and schedule payments, ensuring timely and accurate disbursements.
- Reconcile AP aging reports and assist in preparing reports for management.
QuickBooks Management:
- Perform routine accounting entries in QuickBooks, including journal entries and reconciliations.
- Maintain and update the general ledger, ensuring accuracy and compliance with accounting standards.
- Assist in the preparation of month-end and year-end closing processes.
Administrative Support:
- Ensure communal office spaces are tidy and presentable.
- Order and manage inventory of office snacks and supplies.
- Assist with filing and other clerical duties as needed.
- Support the executive and director teams with ad hoc administrative tasks.
- Collect and reconcile company AMEX receipts.
- Manage select vendor relationships and communications.
Reporting and Compliance:
- Prepare and review financial reports, including AR/AP aging reports, cash flow forecasts, and other management reports as needed.
- Ensure compliance with internal financial policies and external regulatory requirements.
- Assist with 1099 filings and annual audit preparations.
Collaboration and Communication:
- Work closely with the finance and operations teams to ensure accurate financial records.
- Resolve any internal issues related to accounting and administrative tasks in a timely and professional manner.
Qualifications Education:
Associate’s degree in Accounting, Finance, Business Administration, or a related field preferred.
Experience:
- Minimum of 2 years of experience using QuickBooks (Desktop or Online) is preferred.
- Strong understanding of accounting principles and practices.
Skills:
- Proficiency in QuickBooks and Microsoft Excel (v-lookups, pivot tables).
- Excellent attention to detail and organizational skills.
- Strong verbal and written communication skills.
- Ability to manage multiple responsibilities and meet deadlines.
- Capable of working independently and collaboratively.
- Experience with payroll processing and other accounting software is a plus.
- Familiarity with professional services, construction, or manufacturing industries is preferred.
