The position is responsible for administrative duties including travel, procurement, and HR transactions for the Department of Philosophy. In this role, you will be responsible for: Working closely with Philosophy staff to ensure University, local, state, and federal policies are upheld. Submitting, monitoring, tracking, and reviewing travel authorizations, expense reports, and non-travel reimbursements Confirming all appropriate supporting documentation for travel has been properly submitted. Responsible for carrying and utilizing a University travel card and purchasing card and making business related purchases for employees. Responsible for procurement including preparing and entering requisitions, change orders, and payment request forms. This includes obtaining product information, ensuring proper authorization has been obtained, entering procurement/receiving information in the purchasing system, and monitoring the payment process to ensure invoices are paid. Supporting HR transaction entry. May enter Faculty, Staff, Graduate Assistant, and OPS personnel actions The Administrative Associate plays a crucial role in the success of the Philosophy Department. By serving in this position, you will contribute directly to the success of the academic teaching and research efforts at Florida State University! Preferred Qualifications and Experience include:
Experience performing accurately in a detail-oriented environment. Knowledge of Microsoft Office Suite and willingness to learn new computer programs. Effective communication skills, including by phone, email, and in-person. Experience establishing and maintaining effective working relationships. Ability to interpret and apply related University policies, procedures, principles, and practices. Helpful What can I expect in the first 60-90 days? During this adjustment period there will be close collaboration with office staff to shore up areas where knowledge and experience are moderate or less and to develop one’s own organizational methods. By the period’s end there will be a solid understanding of your role and responsibilities in the department, and by the beginning of the fall semester you will be able to perform your duties in a proactive manner, in addition to being well-positioned to contribute towards challenges requiring collaborative effort.
