Administrative Specialist – UBA/College of Social Sciences & Public Policy (Multiple Vacancies) 4.3 4.3 out of 5 stars Tallahassee, FL Department University Business Administrators – College of Social Sciences and Public Policy (Economics and Sociology) Responsibilities This position is responsible for the administrative, operational, and fiscal activities for the Department of Economics or the Department of Sociology. Serves as the departmental Human Resources representative. Facilitates new hire and re-hire activities through FSU’s recruitment and onboarding systems. Collects and maintains new hire documentation. Coordinates with new hires to ensure onboarding tasks are completed prior to the first day. Processes appointments, monitors actives, certifies payroll, and approves time. Assists in the preparation of GA offer and appointment letters. Coordinates with appropriate campus offices to ensure international hires and employees obtain and maintain work authorization. Coordinates and performs monthly reconciliation of account ledgers. Researches problems and discrepancies and brings resolution to the problem. Audits internal accounting system for accuracy and consistency with FSU systems. Ensures accurate processing of budget, expenditures, and payroll. Analyzes, prepares, reviews, and disseminates budget reports to the department chair, faculty, and necessary department staff. Regularly monitors account balances to prevent over-expenditures. Submits requests to transfer funds. Collaborates with the department chair to develop a department budget. Serves as P Card Proxy for assigned P-Card holders. Oversees and monitors travel and purchasing for the department, coordinating with travel associate to ensure departmental needs are met. Acts as the purchasing and travel rep point of contact for the department holding both a t-card and p-card. Ensures travel is compliant with FSU policies and procedures, processing timely. Monitors faculty and student travel allocations. Participates in administrative management of the department. Attends regular meetings with faculty and staff. Ensures inventory is tracked and documented. Assists with space allocation. Assists in the preparation and management of events held by the department. Creates the e-binder for the Promotion and Tenure process for faculty. Inputs the Assignment of Responsibilities (AOR) for faculty each semester. Inputs FACET information for faculty and staff/OPS funded by grants. Qualifications A Bachelor’s degree and two years of experience; or a high school diploma or equivalent and six years of experience. (
