Full Job Description Key Responsibilities:
Financial Accounting and Reporting:

Manage and analyze general ledger accounts, ensuring accuracy and compliance using QuickBooks. Design and update the company’s chart of accounts. Oversee general ledger entries, including monthly and recurring entries, and execute necessary adjustments. Administer month-end closing processes. Conduct inter-company reconciliations regularly. Prepare and submit GST/HST returns on a scheduled basis. Support fiscal year-end processes by preparing financial statements, including the Trial Balance, Profit & Loss, and Balance Sheet. Provide financial analysis and recommend enhancements to optimize financial performance. Develop Excel-based financial reports, with a focus on payroll support.

Payroll Management:

Administer payroll using ADP, ensuring timely and accurate processing. Prepare and distribute T4s and T4 summaries. Manage government remittances related to payroll. Generate Records of Employment (ROEs) through the ROE WEB system as needed. Oversee payroll for a staff of 30+ employees, including manual calculations when required. Prepare WSIB reports and conduct annual WSIB reconciliations.

Accounts Receivable:

Maintain ongoing communication with key accounts, providing excellent customer service. Manage customer payments, ensuring timely collection. Process trade references and manage new customer credit applications. Submit invoices to key clients before the month’s end. Follow up on overdue accounts and manage cash deposits.

Accounts Payable:

Engage with vendors to ensure timely payments and resolve any discrepancies. Process and approve bills in QuickBooks, handling any disputes effectively. Prepare and distribute monthly sales commission reports. Manage credit card payments on a regular schedule. Coordinate international wire payments.

Banking Operations:

Reconcile bank statements for all active accounts. Accurately record and reconcile credit card transactions. Ensure HST filings are accurate, coordinating closely between Accounts Payable and Accounts Receivable.

Qualifications:

A bachelor’s degree in Accounting, Finance, or a closely related field. Demonstrated experience in accounting with a solid grasp of general ledger and financial close processes. Proficiency in QuickBooks and Excel. Familiarity with payroll systems, preferably ADP. Detail-oriented with strong analytical skills. Ability to work both independently and collaboratively. Excellent communication and interpersonal abilities. Canadian experience is essential. Proficiency in Russian is an asset.
