QUESTIONS
Description This position provides mid-level administrative, clerical, and staff support services to a college administrator and their organizational unit. The work is generally diversified requiring judgment to apply broader aspects of established policies, practices, and procedures.

Examples of Duties Essential Functions/Duties:

Reviews invoices for all pertinent information such as quantity, description, unit price, freight, and payment terms. Ensures proper approvals. Review general ledger and department coding for accuracy. Ensures work is performed accurately and efficiently. Assigns, directs work, and coaches accounts payable assistants as direct supervisor. Reviews work of accounts payable assistants for accuracy.
Researches the most complex problem accounts. Contacts vendors to resolve account discrepancies. Works with budget managers to ensure accurate coding and approvals for invoices. Perform year end procedures; process and review 1099 forms for accuracy and timely filing. Oversee the review of travel reimbursements for proper documentation, approvals and general ledger coding along with the reconciliation of advances to submitted reimbursements. Ensures account statements reconciliation to support for college credit cards is maintained on a timely basis.
Process monthly utility statements for payment as a direct pay.
Process “Z checks” and ACH payments which consists of those payments that are paid online.
Process quarterly student stipends from Upward Bound; process VA repayments. Process purchase orders and VDOR credits for monthly VISA statements.
Performs other duties as required.

Typical Qualifications Required Skills:

Experience with office suite type products, including Excel and Word.
Good organizational skills, with special attention to details. Must be able to multi-task.
Good oral and written communications skills and the ability to establish effective rapport with students, internal and external customers.
Proficient with spreadsheets and databases.
Ability to maintain confidential information.
Ability to work independently on broader assignments with the responsibility for the planning of work.
Ability to research records and procedures independently.
Exceptional customer service skills.

This position is level P12. Required Education:

Bachelor’s degree. Preferably a bachelor’s in accounting or finance.

Required Experience:
