Position Summary:
This position is a vital part of the Business Office, responsible for managing the complete accounts payable process and administering the student financial aid program. It ensures the accuracy and timeliness of financial transactions, upholds strong internal controls, and supports regulatory compliance and audit preparedness. Additionally, the role fosters collaboration across departments, provides backup support for accounts receivable activities, and plays a key role in enhancing the efficiency and accuracy of financial operations and reporting.
Specific Duties Include:
Manage the full Accounts Payable cycle from invoice entry to payment processing, including reviewing and entering invoices, ensuring proper approvals, issuing payments (checks and EFTs), managing vendor relationships, and maintaining compliance with internal controls
Oversee the school’s purchasing card program, ensuring all charges are properly coded and supported by documentation, managing cardholder compliance, and overseeing the monthly reconciliation and posting of charges to the general ledger
Ensure accurate collection and filing of required tax documentation, including Forms W-9, annual issuance of Forms 1099, and preparation of Form 1098
Oversee the end-to-end student financial aid process, including communication with parents, review and analysis of applications, coordination with the third-party processor, and assignment of grants
Perform routine general ledger reconciliations to ensure accuracy and completeness of financial data, investigate discrepancies, and maintain organized, audit-ready records
Cross-train and provide backup support for Accounts Receivable functions, including parent billing and payment collection
Identify opportunities to improve workflow efficiency, strengthen internal controls, and enhance the accuracy and timeliness of financial reporting
Lead or support special projects and initiatives related to the Business Office, as assigned
All other duties as assigned
Required Skills:
Proficiency in Microsoft Excel and accounting software systems
Strong analytical and problem-solving abilities, with a high attention to detail
Excellent written and verbal communication skills
Ability to work collaboratively across departments and with external stakeholders
Knowledge of internal controls and best practices in accounting
Ability to manage multiple responsibilities in a dynamic environment
Minimum Job Qualifications:
Bachelor’s degree in Accounting or a related field (preferred)
Minimum of 5 years of accounting experience, with at least 2 years in a supervisory or managerial role (preferred)
