JOB SUMMARY

This job exists to provide financial expertise, compliance oversight, leadership and support for the Accounting Office and other management/faculty across campus regarding various activities in the accounting office, with emphasis specifically, in the grant reporting, compliance, restricted fund and endowment areas of Hamline University, in a timely and accurate manner. Ensuring financial and contractual compliance with administering grants from a financial and grant terms aspect is a key task of this job. Activities range from monitoring restricted fund activity, preparing journal entries, serving as the primary contact and support for grant desk audits, audit work papers and tax returns to preparing endowment schedules, grant billings and reports.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Serve as primary lead contact for grant and restricted fund related inquiries. Guide and lead faculty/staff with grant preparation including the development of financial projections as requested and the review of grant terms and conditions. Guide and lead faculty/staff with contract budget preparation including the development of financial projections as requested and the review of contract terms and conditions. Lead and support financial compliance desk audits for government and foundation grants and contracts. Develop reports both in the Workday system and externally to assist grant managers in cost management of their grants and contracts. Prepare grant and contract billings and reports based on the individual grant requirements. Prepare grant and contract journal entries and indirect charges. Assist in updating and implementing the University’s policy related to indirect cost allocations. Lead the process in the calculation and support of our federal indirect cost reimbursement rate with the government. Serve as the primary contact for inquiries, data analysis, and compliance matters. Assist in the preparation of quarterly GAAP financial statements as needed. Prepare routine and non-routine journal entries and assist in the preparation of year-end audit work papers and tax return work papers. Assist in preparing the annual distribution work papers and the Honors Day and Department Scholarship information for distribution to the appropriate responsible parties. Support Workday security set-up. Perform daily banking activities in the treasury area. Communicate with the Hamline community regarding banking transactions to ensure proper coding. All other duties as requested.

BUDGET MANAGEMENT RESPONSIBILITIES

This position is not a budget manager, however, is responsible for the appropriateness of expenses charged to grant budgets.

REQUIRED KNOWLEDGE, SKILLS, ABILITIES AND KEY COMPETENCIES

Adequate knowledge and skills in the area of administering the accounting activities and ensure contract compliance of various types of grants. Intermediate experience with data entry forms and web-based systems. Regular use of Microsoft Office Suite, Google and Google Apps. Ability to communicate clearly and concisely, conveying complex, technical information in a manner that nontechnical audiences can understand, as well as ability to understand and interpret complex information from others. Able to handle sensitive and confidential information Ability to work effectively with all levels of management, staff and employees. Excellent interpersonal communication skills. Strong attention to detail.

MINIMUM EDUCATION/EXPERIENCE

Associate’s degree from an accredited college or university with 3 or more years of applicable finance/grant experience. 2+ years professional experience using Microsoft Office Suite, Google or Google Apps.

PREFERRED EDUCATION/EXPERIENCE

Bachelor’s degree from an accredited college or university with over 5 years of applicable finance/grant experience. 3+ years professional experience working with grants or endowments in a higher education institution, government entity, or non-profit organization. Experience communicating with state, federal and private grantors in the areas of budgeting, reporting and compliance. Strong knowledge in government grant accounting and compliance. Solid understanding of fund accounting and working with ERP systems. Workday experience strongly preferred.

This is a 1.0 FTE, exempt position that requires a minimum 40 hours a week, 12 months a year
