com) Position Description We are looking for a candidate that can perform a hybrid role of an Estimating Assistant and a Project Accountant. This hybrid position will support our Estimating Department and one or two Project Managers. This position will be located in our Gallatin, TN office. This position reports to the Director of Estimating and is a multi-faceted role with opportunities to gain experience, grow and develop within the company.
This position is responsible for:
Estimating Assistant Role:
o Using Building Connected to assist in managing the estimation and bidding process including uploading blueprints, sending out bid invitations, following-up on Request-for-Information (RFI) questions, contacting subcontractors that have not submitted bids and other processing and organizational tasks. o Managing and updating Plan Hub and Blue Book websites; receiving and processing bids and communicating bid/job statuses. o On occasion, assisting in finding, evaluating and calling existing and new subcontractors in locations where we are bidding each new job; sending interested subcontractors an “invitation to bid” email with our requirements e.g., construction drawings; compliance and insurance requirements; scheduling times, and other pertinent information. o Ensuring timely follow-up with subcontractors to obtain 3-6 bids per for each “division or trade” needed for the project prior to the “bid date deadline”. o Gathering, validating, and organizing all subcontractor lists, contact information, documents and creating files in our public drive to archive each bid submitted to ensure easy retrieval. Ensuring all required documentation is returned from the subcontractor and archived (including all public project requirements). o Updating the Gallatin “bid board” daily, as well as collaborating with others to update the weekly bid spreadsheet with all statuses of each bid and posting the results. o If the job is awarded to us, creating and organizing the “bid book;” if the job is not awarded, archiving the information and subcontractor list appropriately. o Managing and responding to Estimating@KPSconstruction.com email box or interest from our KPS website. Project Accountant Role o Assisting the Project Manager(s) with: Creating and delivering owner and subcontractor contracts and change orders; ensuring the documents are signed and returned in a timely manner before any work starts. Contacting subcontractors when needed; asking for bids/quotes for change orders; clarifying processes and/or procedures with them. Creating and submitting subcontractor invoices for payment. Creating purchase orders for materials, equipment and overhead items. Creating weekly reports and sending them to the owner to provide status updates on their construction project. Coordinating and interfacing with our Accounting/Finance area to clarify invoices, contracts, purchase orders or when issues arise. o Managing and professionally responding to all owners and subcontractors via phone and email. o Supporting, and in some cases, training our subcontractors on how to complete standardized forms for payment and how to use Procore basic functionality. o Ensuring the appropriate Procore workflow is utilized to process a variety of documentation and functions; ensuring all documentation is attached and archived for easy identification and retrieval; following consistent workflow procedures and adjusting entries as needed. o Assist in answering general incoming phone calls and making outbound calls when needed. o Creating documents using Microsoft, Adobe and DocuSign products. o On occasion, traveling to job sites to support the project manager and/or owner when needed. o Learning more Project Manager processes as proficiency is achieved. Position Requirements An associate or bachelor’s degree is preferred and/or 2-5 years of experience in an estimating assistant or a project accountant role. Experience in managing and archiving documents, invoices, client service and troubleshooting issues. Intermediate experience in Microsoft Office programs, i.e., Excel, WORD and Teams; DocuSign, Adobe and Procore experience preferred. Must be well organized and be able to execute processes in a timely and accurate manner. Must convey a professional, positive, courteous, and friendly brand image when interacting with clients, subcontractors and staff. Must have an energetic, enthusiastic, collaborative, and “can do” attitude. Must be a team player and flexible as needs change quickly in a growing business. Excellent written and verbal communication skills including the use of proper English and grammar. Initiative-taker, inquisitive, willing to learn quickly and be creative; suggesting efficient solutions and collaborating in their implementation. This position does not have a work-from-home (WFH) option, and the employee must work on-site in the Gallatin, TN office, Monday
