Position Summary:

The Staff Accountant is responsible for maintaining accurate financial records, performing account reconciliations, assisting with financial reporting, and supporting month-end and year-end closing processes. This role ensures compliance with accounting principles and company policies while working closely with the finance team to enhance efficiency and accuracy in financial operations.

Primary Objective:

The primary objective of the Staff Accountant is to ensure the integrity of financial data by accurately recording transactions, reconciling accounts, and supporting financial reporting. This role contributes to the overall success of the accounting function by assisting in budgeting, compliance, and process improvements to optimize financial operations.
Duties and Responsibilities

General Ledger Maintenance:

Maintain and reconcile the general ledger, prepare and analyze financial statements, and support month-end and year-end close to ensure accurate transactions, timely reporting, and compliance with accounting standards and company policies.

Month-End and Year-End Closing:

Prepare journal entries for accruals, prepaids, depreciation, and other adjustments while reconciling bank accounts, credit cards, and intercompany transactions. The Staff Accountant ensures compliance with GAAP and company policies, works with management to meet closing deadlines, and supports accurate, timely financial operations.

Financial Reporting:

Generate financial reports and dashboards to assess performance, identify trends, and conduct variance analysis, while recommending improvements for financial planning and control. Maintain accurate records, reconcile accounts, ensure compliance, and manage multiple priorities in a fast-paced environment.

Account Reconciliations:

Performs regular reconciliations of bank accounts, credit cards, and general ledger accounts to ensure financial accuracy. They investigate and resolve discrepancies, maintain fixed asset records, and ensure adherence to depreciation schedules for proper financial reporting and asset management.

Accounts Payable and Accounts Receivable:

Process vendor invoices, employee reimbursements, and credit card transactions accurately while supporting customer invoices, collections, and account reconciliations to maintain accurate balances and resolve discrepancies, ensuring financial accuracy through collaboration with vendors and internal teams.

Budgeting and Forecasting:

Track and categorize business expenses to ensure alignment with budgets and financial guidelines, while analyzing spending trends to identify cost-saving opportunities. Assist with forecasting and budget preparation, providing financial insights to support strategic planning and decision-making.

Audit Support and Internal Controls:

Support internal and external audits by preparing financial documentation and responding to inquiries, ensuring accuracy and compliance. Assist in developing and enforcing internal controls to prevent fraud, strengthen financial integrity, and uphold company policies and industry regulations.

Compliance and Tax Filings:

Ensure compliance with local, state, and federal tax regulations, including parking and occupancy taxes, while assisting with sales, use, and payroll tax filings and maintaining accurate records for audits. This role requires knowledge of

GAAP, PCI

compliance, tax laws, and industry regulations related to parking operations and municipal contracts.

Cost Control and Expense Management:

Monitor operating expenses, track spending, and identify cost-saving opportunities for facility maintenance, technology, and labor. Collaborate with facility managers and vendors to manage costs, negotiate contracts, and recommend strategies to improve financial efficiency while maintaining service quality.

Contract and Lease Accounting:

Manage and reconcile the financial aspects of leases, commercial agreements, and revenue-sharing contracts, ensuring accurate recording of payments and obligations. Collaborate with legal and operations teams to assess financial risks, ensure compliance, and provide financial insights to support contract negotiations.

Customer and Vendor Relations:

Handle financial inquiries from clients, vendors, and municipalities regarding billing, collections, and payments, resolve disputes and ensuring timely transactions. Collaborate with accounts receivable and payable teams to maintain accurate records, support reporting, and uphold positive relationships through effective communication and problem-solving.

Additional Responsibilities:

Other tasks may be assigned as needed to support the company’s overall operational and financial objectives, with the expectation that the management remains flexible and responsive to evolving business needs. Attend required staff meetings and complete assigned training modules in a timely manner. Including but not limited to the ability to work flexible hours when needed, particularly during financial close periods and occasional travel for financial reviews, audits, or corporate meetings. May be required.

Experience using accounting software (QuickBooks, SAP, Oracle, NetSuite) and familiarity with parking management systems (TIBA, Amano, ParkMobile, PayByPhone, etc.).

Process Improvement, Efficiency, and Analytical Skills:

Proactively identify and implement improvements in accounting processes, automation, and financial controls to enhance operational efficiency. Analyze complex revenue and payroll data, resolve discrepancies, address operational inefficiencies, and develop solutions to improve accuracy, performance, and overall financial operations.

Adaptability, Flexibility, and Ethical Conduct:

Demonstrate adaptability to changing environments and flexibility in managing diverse responsibilities, including frequent travel and unexpected challenges in project management and revenue operations. Maintain confidentiality and uphold ethical standards by handling sensitive financial information with integrity and ensuring compliance with company policies and accounting best practices.

Education/Experience:

Bachelor’s degree in accounting, Finance, or a related field required. Minimum 2 years of accounting experience, experience in guest and/or customer service (Parking and/or Hospitality industry preferred)

Certificates and Licenses:

A valid driver’s license and reliable transportation are required for this role, along with maintaining an acceptable motor vehicle record with no more than three moving violations within a three-year period. Candidates must also pass and maintain a clean background check. No special certifications are necessary for this position.

Work Environment:

The work environment for this role includes both indoor and outdoor settings, requiring collaboration with teams, vendors, and clients on-site and in corporate environments. Associates may frequently use computers, communicate via phone, and perform duties in or around corporate office settings.

Physical Demands:

Requirements may include extended periods of sitting, standing, walking, and the ability to lift moderate weights when necessary. Specific vision abilities—close, distance, peripheral, depth perception, and focus adjustments—may be required to ensure on-site awareness and safety.
