Key Responsibilities:
Be the first point of contact—answer and direct calls, faxes, and visitor inquiries with professionalism. Manage incoming and outgoing mail, packages, invoices, and courier documentation.
Support accounting processes:
sort invoices, release cheques, maintain cheque files. Prepare weekly reports and assist in compiling management packages. Maintain and order office supplies, coordinate special orders, and manage vendor communication. Provide administrative support to management and assist with travel arrangements. Handle customer complaints and direct documentation to the appropriate departments. Maintain office tidiness and coordinate with cleaning/landscaping staff. Support document archiving, WSIB clearance collection, and internal audit preparation. Always seek ways to improve the efficiency and effectiveness of office processes. What You Bring to the
Role:
Post-secondary education and experience in reception and administrative duties. Solid understanding of accounting practices and familiarity with invoicing and reporting. Proficiency in Microsoft Office (Word and Excel). Strong interpersonal, communication, and customer service skills. High attention to detail, ability to multitask, and self-driven attitude. Experience with purchasing supplies and managing vendor interactions. Knowledge of Quality & Environmental Management Systems is an asset.
