ACCOUNTING & OFFICE ADMINISTRATOR

At our Batavia, NY facility, our work is focused on building equipment specifically designed to protect the health of our troops while protecting the environment. While delivering on this mission, our workplace will allow you to expand your technical knowledge, develop new skills, and build on the strengths and qualifications you bring to the job. We are seeking a detail-oriented and versatile Accounting and Office Administrator to manage day-to-day financial tasks and provide essential administrative support to ensure the smooth operation of our office. This dual-role position is ideal for someone who is organized, proactive, and comfortable working independently across both accounting and administrative functions.

ESSENTIAL DUTIES & RESPONSIBILITIES

Utilize accounting/ERP system to accurately record financial transactions and maintain financial records including ledgers, journals and other relevant documents. Process invoices, track payments, compile and report expenses, reconcile credit cards and bank statements, and similar functions ensuring accuracy and identifying any discrepancies. Assist in developing and managing operational/purchasing budgets, and acquisition of goods and services. Maintain legal, tax, quality and/or other business records Support on-boarding of new employees, coordination of training Process employee expense reports and reimbursements Implement employee policies, maintain HR records and monitor compliance Administer employee health benefit program Collaborate and interact with various internal departments including accounting, engineering and production personnel, as well as suppliers, and professional service providers. Provide clerical support to the technical documentation team, production team, and other teammates, as required Administrative duties including managing office/facility related supplies, maintaining office filing systems (digital and physical), respond to emails and calls, greet visitors, schedule meetings, prepare support documentation, coordinate incoming/outgoing mail, and other administrative tasks. Provide support/back-up to production related purchasing as required Coordinate meetings, training courses, social/community events, and book company travel

EDUCATION AND EXPERIENCE

Diploma or certificate in accounting, bookkeeping or business administration (or equivalent experience) Minimum 3-years experience in office administration or accounting support role preferably within a manufacturing environment Minimum 2-years of bookkeeping experience using an ERP Expert proficiency in MS Office suite particularly Excel

KNOWLEDGE, SKILLS AND ABILITIES

Excellent communication and interpersonal skills Strong data entry and record-keeping skills, ensuring accurate and organized financial data organizational and time-management abilities Attention to detail and accuracy in work Ability to multitask and prioritize tasks effectively Experience with ERP systems and inventory control processes Good judgment and initiative are required to resolve problems and make recommendations
