Saltwater Home – Full Charge Bookeeper Saltwater Home Kennebunk, ME 04043 Job Summary Saltwater Home is a full-service boutique interior design firm serving clients nationwide from Maine to Maui, specializing in residential design. Currently, Saltwater Home is looking for a Full Charge Bookeeper. This special person will manage all the business’s daily accounting needs and report to the Procurement + Expediting Manager. To succeed in this role, you must have excellent attention to detail, a strong sense of professionalism, confidentiality and a sense of ease when working in a fast-paced environment. Responsibilities
- Work closely with designers and purchasing department to ensure projects are being reviewed and moved forward with billing and payments.
- Adhere to, maintain, and develop systems, policies, processes, and procedures for accounting and cash flow, with the assistance of organization leadership
- Responsible for all accounts payable and receivable
- Maintain compliance with Federal, State and Local regulations regarding bookkeeping/accounting practices.
- Support external CPA by providing documentation for annual tax filing and payment
- Send business proposals to clients.
ACCOUNTS RECEIVABLE
- Generate and send proposals/invoices according to project timelines
- Generate and manage client statements
- Provide guidance and support to clients and other staff in resolving any questions related to invoices
- Receive all payments and record
- Manage internal notifications and communication on invoice and payment statuses
- Prepare and deliver deposits to the bank
ACCOUNTS PAYABLE
- Process all vendor payments
- Maintain documentation for all expenses and payments
- Manage and monitor company credit card accounts
- Review and record transactions for all company credit card holders
- Manage and track all expense receipts OTHER
- Act as backup support for Bi-Weekly Payroll processing
- Present reports and documents as required by Procurement and Expediting Manager
- Responsible for producing client statements for design and procurement team
- Continually interact and communicate with designers on the status of project finances
- Support Procurement + Expediting Manager with ordering and advancing the storage and installation of project materials and services.
- Other unlisted, related tasks may be expected and required for the position.
