Month Position Position Summary:
The Bookkeeper is responsible for maintaining accurate financial records and ensuring compliance with the Alabama State Department of Education (ALSDE) accounting procedures and district financial policies. The role includes processing accounts payable/receivable, maintaining budgets, reconciling accounts and assisting with payroll and school related financial activities.
Essential Duties and Responsibilities:
Maintain daily financial operations including cash receipts, disbursements, and deposits. Maintain accurate records of all school financial transactions using district-approved accounting software. Prepare monthly and year-end financial statements and reports as required by the ALSDE and the local board of education. Reconcile bank statements and general ledger accounts. Process purchase orders, invoices and check requests in compliance with state bid law and local policies. Track and monitor local school accounts, including fundraising, athletics, PTO funds, and activity accounts. Assist with budget development and monitor spending to ensure adherence to allocated budget. Ensure all financial activity complies with state, federal, and local policies including internal control procedures. Maintain accurate payroll records for school employees; assist with timekeeping, leave tracking and submission of payroll documents. Provide assistance to staff and vendors regarding payments, account status and documentations. Prepare records for audits and assist auditors as needed. Handle confidential financial and personnel data with discretion and integrity.
Qualifications:
High School diploma or GED required, Associate’s Degree or coursework in Accounting, Business or related field required. Minimum of 2 years of bookkeeping or accounting experience, preferably in a school or public sector environment. Knowledge of Alabama public school accounting procedures (including the Alabama Financial Management Handbook for Local Schools) is strongly preferred. Proficiency in Microsoft Excel and financial software applications. Strong attention to detail, accuracy, and organizational skills. Ability to meet deadlines and manage multiple priorities in a fast-paced school settings. Ability to work effectively with school staff, vendors and community members.
Working Conditions:
Office environment with a school or district administrative building. Regular use of standard office equipment such as computers, phones, copiers, etc. Occasional lifting of office supplies and files up to 25 pounds.
Term of Employment:
Salary and Benefits in accordance with a compensation program recommended by the administration and approved by the Midfield Board of Education.
Evaluation:
The performance of the job will be evaluated according to the provision of the Board’s policy and personnel evaluation.
