Payroll and Accounting Specialist Position Summary:
The Payroll and Accounting Specialist is responsible for accurately processing payroll and maintaining financial records in compliance with federal, state, and local regulations. This role requires strong attention to detail and the ability to manage multiple financial functions including payroll processing, reconciliation, and financial reporting. The specialist will work collaboratively with the Finance and Human Resources departments to ensure timely and accurate employee compensation and fiscal accountability across the school district.

High school diploma (associate’s degree preferred) Minimum of three years of related experience Knowledge of federal and state payroll regulations, tax laws, and employee benefits reporting Fingerprint clearance with the Alabama State Department of Education prior to the start date
Essential Duties and Responsibilities:
Process accounts receivable and payable transactions accurately and on schedule Prepare, distribute, and record invoices and vendor payments Maintain accurate and comprehensive records related to accounts payable and receivable Maintain detailed and up-to-date financial records for all transactions within area of responsibility Process monthly payroll for all district employees, ensuring accuracy and timeliness Maintain accurate payroll data, including salaries, tax withholdings, and leave balances Review and verify timesheets, leave forms, and related payroll documentation Prepare and file payroll-related tax reports (W-2s, 941s, etc.) in compliance with IRS and state laws Reconcile payroll and financial accounts, including general ledger and bank statements Assist with internal and external audits by providing required payroll and accounting documentation Collaborate with human resources to validate employee data, benefits, and compensation changes Respond to employee inquiries regarding payroll, deductions, taxes, and leave Track and report employee leave accruals and usage Support budgeting, reporting, and other financial management tasks Recommend and support implementation of process improvements and technology integration in financial operations Perform other duties as assigned by the Chief School Financial Officer and/or

Physical Requirements:
