Job Summary:

The Local School Bookkeeper is responsible for maintaining accurate and timely financial records for the local school in accordance with Alabama State Department of Education (ALSDE) regulations, AASBO standards , and local board policy. The bookkeeper ensures proper internal controls are followed in handling public funds and serves as the financial liaison between the school and the central office.

Essential Duties and Responsibilities:

Maintain accurate and up-to-date accounting of all school funds, including but not limited to: activity funds, athletic accounts, fundraising, and club accounts. Enter and manage transactions in the school’s financial management system (e.g., Harris NextGen or equivalent). Reconcile school bank accounts monthly and prepare timely financial reports for the principal and CSFO. Maintain accurate supporting documentation for all receipts and expenditures in compliance with the Local School Financial Procedures Manual. Collect, count, deposit, and record all funds received at the school in accordance with the two-person verification rule and next-day deposit requirements. Issue checks, ensure proper invoice documentation, and maintain purchase order tracking. Assist with the preparation of the school’s annual budget in coordination with the principal and CSFO. Monitor budgetary compliance and notify the principal and CSFO of any discrepancies or concerns. Ensure that all fundraisers and cash collections are pre-approved, tracked, and reconciled. Coordinate with external and internal auditors to provide requested financial records. Support school staff on proper financial procedures, including cash collection and fundraising protocols. Follow procedures for closing the books monthly and annually, including submission of financial statements and reports to the central office. Prepare and submit monthly payroll documentation, including time sheets, leave forms, substitutes, and stipends, in accordance with central office deadlines. Verify employee attendance and leave balances, ensure proper coding for payroll charges, and communicate with the CSFO/payroll department regarding any discrepancies or required corrections. Maintain strict confidentiality regarding all payroll and personnel matters.

Required Knowledge, Skills, and Abilities:

Strong knowledge of basic accounting and bookkeeping principles. Familiarity with local school accounting practices, fundraising guidelines, and public fund accountability. Proficiency in spreadsheet and accounting software (e.g., Excel, NextGen, etc.). Ability to work with a high degree of accuracy, efficiency, and attention to detail. Excellent organizational, time management, and communication skills. Ability to maintain confidentiality and handle sensitive information appropriately. Ability to work independently and collaboratively with school staff and district personnel.

Qualifications:

High school diploma or GED required. Associate degree in accounting or business-related field preferred. Minimum of two (2) years’ experience in accounting, finance, or school bookkeeping preferred. Must complete AASBO Local School Financial Management training within the first year of employment (if not already completed).

Physical Requirements:

Prolonged periods sitting at a desk and working on a computer. Occasional lifting of light boxes or files (up to 25 lbs).

Terms of Employment:

Salary and work year established by the local Board of Education. Performance evaluated annually by the Principal in conjunction with the CSFO or designee.
