The ideal candidate will be the first point of contact for visitors and callers, while also supporting the accounts payable function to ensure timely and accurate processing of vendor invoices and payments. This is a key role in maintaining a professional office environment and supporting the company’s operational efficiency across all divisions. Key Responsibilities Reception & Office Support Greet and assist visitors, clients, and vendors in a professional and friendly manner. Answer and direct incoming phone calls, take messages, and respond to general inquiries. Manage incoming and outgoing mail, packages, and deliveries. Maintain a clean and organized reception area and conference rooms. Provide administrative support to various departments as needed. Accounts Payable Receive, review, and process vendor invoices for multiple divisions (service, manufacturing, retail). Match invoices to purchase orders and receiving documents, ensuring accuracy and proper approvals. Enter invoices into the accounting system and prepare payment batches. Reconcile vendor statements and resolve discrepancies in a timely manner. Assist with month-end closing and AP reporting as required. Maintain accurate and organized AP files and records. Additional Duties Assist with special projects and other duties as assigned by management. Qualifications Minimum 2 years of experience in a receptionist or administrative role. Minimum 1 year of experience in accounts payable. Strong organizational and multitasking skills with attention to detail. Excellent written and verbal communication skills. Proficiency in Microsoft Office (Word, Excel, Outlook) and basic accounting software. Ability to work independently and as part of a team in a fast-paced environment. High school diploma or equivalent required; college coursework or degree preferred.
