Our client, located in Greenwich, CT, is a boutique interior design firm specializing in high-end residential and commercial spaces. Renowned for their timeless, sophisticated aesthetic and highly personalized service, they operate in a dynamic, fast-paced environment where each team member is essential to their continued success.

They are seeking a proactive, detail-oriented, and tech-savvy professional to oversee financial operations, office management, and billing processes.

This position is in-house three days a week (9 AM

  • 6 PM), with the potential to grow into a full-time role based on performance and business needs
  • -Position OverviewThe ideal candidate is highly organized, thrives in a small-team environment, and understands the fast-paced nature of the design industry.

This role requires strong bookkeeping, billing, and office operations expertise, particularly within an interior design or creative firm.

As a key member of our team, this individual must be able to follow structured processes, meet deadlines, and work independently while ensuring the smooth financial and operational flow of the business

  • -Key ResponsibilitiesBookkeeping, interfacing with the companys Accounting Design Manager (DM). Primary focus is sending billing out and tracking when payments are received
  • Manage and track the financials, invoices, and expenses accurately and work with our financial accounting system to track financials.

(the company uses Design Manager (DM) software which is a specialized software platform tailored for combining project management with full-featured accounting tools. If you have not used this accounting system but have proficiency with QuickBooks or Netsuite or other related accounting sysems, the company will train the right person

  • Interface with DM Accounting and send out client invoicing, ensuring accuracy and timely follow-up on outstanding balances
  • Print receipts for credit card statements and file monthly
  • Create Client hourly invoices via DM and Harvest (this is a cloud-based time tracking and invoicing software)Office Management and Administrative Support
  • Oversee day-to-day operations of the design studio, ensuring a smooth and efficient work environment
  • Manage office supplies, vendor relations, and office maintenance to support business operations
  • Act as the primary point of contact for IT troubleshooting, working with external support teams when needed
  • Assist in organizing client procurement and coordinating vendor payments
  • Work closely with the owner and design team to ensure deadlines are met and workflows remain efficient.

Client and Team Collaboration

  • Interface regularly with designers, clients, and vendors to keep projects financially on track
  • Take initiative in problem-solving and maintain a positive, solutions-oriented attitude within the team.

  • -Qualifications and Skills
  • Proficiency navigating and utilizing an Accounting System (i.e., QuickBooks, NetSuite for for billing, invoicing, expenses, etc. with a project)
  • Experience with QuickBooks (preferred) or similar bookkeeping software
  • Minimum 5 years of bookke ping or office management experience, preferably in a small office setting (roll-up your sleeves)
  • Strong organizational skills, attention to detail, and ability to meet deadlines
  • Ability to follow structured processes while also working independently and managing time effectively
  • Experience managing client invoicing, and financial reporting
  • Professional and clear written and verbal communication skills
  • Strong problem-solving skills and the ability to troubleshoot issues proactively
  • Bachelor’s degree in Accounting, Finance, Business, or related field or the equivalent of at least 7 years experience in a similar role
  • A team-first, solutions-oriented mindset with an appreciation for the fast-paced nature of small businesses.
