Candidates should be comfortable working in a hybrid operations/document management environment. Responsibilities Support fleet operations by maintaining accurate vendor records for service/repairs, ensuring timely invoice processing and reporting Tracking fuel card usage and reconciling fuel spend across vehicles. Supporting fleet maintenance logs and vendor invoice matching (repairs, pos , inspections, etc.). Helping compile documentation between AP and fleet Collaborate with fleet managers, operations, and vendors Review invoices & gather appropriate documentation prior to payment Process invoices in compliance with financial policies and procedures Reconcile the accounts payable ledger to ensure that all payments are accounted for and properly posted Setup vendors and maintain 1099 reporting compliance Review and process employee expense reports Respond to vendor inquiries in a timely polite manner Reconcile credit card statements and diligently collect receipts for all credit card transactions Review monthly vendor statements and track down/research any potential missing invoices Skills High school degree or equivalent required Associate’s or Bachelor’s Degree in Finance, Accounting or Business Administration preferred Familiarity with fleet management software (like Samsara, Fleetio , etc.) a plus Experience working in a transportation, logistics, or field service environment preferred Solid understanding of basic bookkeeping and accounts payable principles Superb time management & detail orientation skills Ability to maintain confidentiality of company information Proven ability to calculate, post and manage accounting figures and financial records Data entry skills along with a knack for numbers Hands-on experience with spreadsheets and proprietary software Proficiency in English and MS Office High degree of accuracy and attention to detail Experience with Great Plains software preferred Please note that this job description is not designed to cover or contain a comprehensive listing of activities, duties, or responsibilities that are required for this role.
