Our company has been in business in Florida since 1974 and has 5 locations in Florida and Georgia. The Accounts Receivable and Invoicing Assistant is responsible for the monthly collection of customer accounts, electronic submission of invoices, invoicing customers, charging credit cards, preparing and submitting statements, bank electronic deposits as well as cash application of receipts. The work schedule is Monday through Friday during the day with occasional weekends. This is an hourly full-time job with benefits after 90 days. The AR and invoicing assistant will be responsible for:

Responsibilities:
  • Use of various accounting and billing systems to verify, create, and record customer invoices.
  • Verifies validity of account discrepancies by obtaining and investigating information from sales executives, field service, customer service, and from customers.
  • Resolves collections by examining customer payment plans, payment history, credit line; and coordinating contact with collection agencies.
  • Creates client statements and mail them monthly.
  • Process and post credit card, and check payments daily.
  • Matches invoices with payments (cash, checks, or credit cards) in the accounting system and post the deposits accordingly. This includes contacting the customer to determine what invoices are been paid.
  • Constant update of customers’ status, this may include a list of outstanding invoices, invoice due dates and the amount of time the invoice has been outstanding.
  • Responsible for generating AR reports for the accounting department and/or supervisors.
  • At times, providing other administrative duties for back up other departments may be necessary.
  • Overtime work may be required during month end and certain projects.
  • Other responsibilities can be assigned as per management’s discretion.
Skills:
  • Excellent verbal and written communication skills required.
  • Must be able to work alone and with a team.
  • Intermediate computer skills
  • Able to handle simple calculations.
  • Flexibility to work in a fast-paced productive environment.
  • Ability to organize, prioritize, multi-task, and adapt to changing priorities.
  • Exceptional follow-through and follow-up skills.
  • Must have the ability to deal with customers in a professional manner.
Experience:
  • Associates Degree required
  • Minimum of 2 years of business-to-business accounts receivable/collections experience
  • Accounting and/or laboratory experience is a plus. Element’s software is a plus.
  • 1 year experience with QuickBooks accounting software.
Physical Demands:
  • The ability to stand or sit for up to 8 hours while working.
  • Able to speak and hear clearly while communicating with co-workers and managers.
