Job Summary:
Detail-oriented and organized Accounting Specialist with strong technology skills, primarily responsible for preparing grant billing processes, reconciling and researching variances, and supporting the day-to-day compliance and reporting of the finance team. Able to perform and track agency-wide allocations for shared expenses and personnel costs as needed. This position supports programmatic staff by translating financial data for budget/actual tracking, forecasting and ensuring timely and accurate reporting, financial/invoice reporting, and journal entries.
Key Responsibilities:
Grant Billing:
Maintain the financial billing of assigned areas (grants) in accordance with the agency’s policies/procedure and funder’s compliance with the support of the accountants in the department. Prepare and submit timely and accurate grant invoices and related documentation. Monitor performance for assigned areas including status of reimbursements, needed budget modifications, allowable activity/trends. Tracking budget vs. actual billing and allowable line-item reimbursements Establishes strong relationships for assigned program area’s designated manager that includes regular meetings to assist in spending and adhering to fiscal reporting and regular cycle closings. Tracks program performance with fiscal data by gathering, reviewing general ledger and mandated billing requirements. Prepares and updates templates of actual spending cross-referencing budget and collaborate with Program staff in projections.
Accounting Support:
Contributes to monthly and year-end closing cycle that includes, journal entries/reconciliations as needed or assigned (p/r, a/p, a/r functions). Support agency-wide allocations for shared and personnel expenses. Prepare and upload journal entries, as required, including recurring entries. Reconcile variance with general ledger vs. allowable expenses for accuracy. Maintain accurate financial records, identifying discrepancies, and ensuring compliance with internal controls and external regulations. to, the correct server and restricted access. Provide backup support to other team members as needed. Perform other duties as assigned. Qualifications and Job Requirements (Required Skills/Abilities) Strong attention to detail and analytical thinking. Ability to work independently and collaboratively in a team-oriented environment. Positive attitude, handle sensitive and confidential information with maximum discretion. Fast-paced demands and accuracy and support to programmatic team. Strong proficiency in Excel, Microsoft Outlook, Word, SharePoint, SAGE preferred. Position requires level 2 background clearance.
Education and Experience:
Associate degree in Accounting, Finance, or related field. Minimum 2-years of accounting experience, preferably in a nonprofit environment. Experience with grant billing and fund accounting strongly preferred. Strong experience with technology and system tools in related position. Strong interpersonal skills with a patient approach to cross-department collaboration to support a service-oriented finance culture.
Working Environment:
• This position typically operates in a shared office environment. • May require occasional remote work or participation in virtual meetings.
Physical Requirements:
