Summary We are seeking an Accounts Payable Specialist to join our team. This role is essential in managing our financial transactions and ensuring that all accounts payable processes are executed accurately and efficiently. Mainly seeking a highly organized and detail-oriented Accounts Payable Specialist with proven experience in managing payables for a fast-paced, multifaceted operation. The ideal candidate will be responsible for handling the full cycle of accounts payable, ensuring vendors are paid accurately and on time, and maintaining strong internal controls over financial transactions. Responsibilities Process and manage all accounts payable transactions in a timely manner. Prepare and post journal entries to the general ledger. Ensure compliance with GAAP and internal policies during all financial transactions. Process a medium -high volume of vendor invoices across multiple properties/entities
Requirements:
5+ years of experience in accounts payable or a similar role (real estate or property management a plus) Proficiency with accounting software (e.g., Yardi, AppFolio, QuickBooks, or similar systems) Strong understanding of GAAP and accounts payable processes Excellent Excel skills and attention to detail Ability to multitask and work under tight deadlines with minimal supervision High level of integrity and discretion when handling confidential information Strong communication and interpersonal skills Verify and reconcile invoice discrepancies and resolve billing issues Ensure timely payments in accordance with company policies and payment terms Maintain and organize vendor records, contracts, and W-9s Prepare and process check runs, ACH payments, and credit card transactions Collaborate with property managers and department heads to confirm approvals and expense coding Assist with month-end closing procedures, including accruals and aging reports Maintain accurate documentation and audit trails for all payable transactions Monitor and manage AP email inbox and respond to vendor inquiries professionally and promptly Prepare 1099 forms and assist with year-end reporting
Preferred Qualifications:
Experience working in real estate, multifamily housing, or property development Familiarity with vendor compliance, insurance documentation, and lien waivers Knowledge of state sales/use tax applications for vendor purchases
