Finance Office Support Assistant 1.4 1.4 out of 5 stars Lake City, FL 32025 Job Description Finance Obtain approval to satisfy vendor statements and invoices Create and maintain benefit invoice and reconciliation Check packing slips vs invoices; submit to bookkeeper Enter invoices in QB (online version) for check payments Ensure monthly utility bills are paid and enter in QB (online version) Request and process W-9 forms; Certificate of Liability from new vendors Prepare accrued sales tax and other taxes for payment Scan all vendor documents; upload to QuickBooks and file for proper safe keeping & filing Mileage calculations before payroll processing Daily Check deposits; submit copies to billing Prepare monthly deposit of Medical Records collections Open; sort; and route incoming mail; answer correspondence; and prepare outgoing mail Operate office machines; such as photocopier and scanner; facsimile machines; voice mail systems; and personal computers Complete and mail bills; contracts; policies; invoices; or checks Perform day-to-day administrative tasks such as maintaining information files and processing paperwork Entering; transcribing; recording; storing; or maintaining information in written or electronic/magnetic from Communicating with Supervisors; Peers; or Subordinates-Providing information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person Other duties assigned from time to time
