Position Summary:
We are seeking a detail-oriented and proactive Office & Accounts Assistant to provide critical administrative and financial support to our growing operations. This multifaceted role includes managing financial tasks through QuickBooks, assisting with collections, handling shipping and inventory logistics, and ensuring smooth daily operations. The ideal candidate is professional, accurate, comfortable multitasking, and thrives in a dynamic, supportive environment.
Key Responsibilities:
Financial Operations:
Prepare and send invoices, post payments, reconcile accounts, and manage outstanding balances using QuickBooks. Generate financial reports and assist with month-end close procedures.
Collections:
Professionally contact clients regarding overdue accounts, adhering to HIPAA compliance guidelines. Document collection communications and coordinate resolution efforts across relevant departments.
Office Coordination & Logistics:
Process incoming and outgoing mail and courier shipments, including medical devices. Maintain organized filing systems for patient records and essential documents. Monitor and document supply levels and assist with inventory management. Answer incoming calls professionally, routing messages efficiently to team members. Provide general administrative support to multiple departments as needed.
Growth & Cross-Training Opportunities:
Assist colleagues and management with special projects to streamline office efficiency.
Required Qualifications:
Minimum 2 years administrative experience with demonstrated QuickBooks proficiency. Experience invoicing and collecting payments from customers. Strong organizational and multitasking skills with the ability to prioritize and meet deadlines. Exceptional written and verbal communication skills with a client-focused approach. High integrity, professionalism, and experience managing confidential information. Competent with Microsoft Office Suite (Word, Excel, Outlook) or Google Suite.
