They are responsible for:
pre-auditing all payment requests made by vendors providing goods and services to the agencies, paying vendor and contract invoices, tracking payments according to the agency’s contracts, withholding and balancing contract retainage, reconciling monthly vendor statements to invoices paid. Invoices are monitored for accuracy and compliance with vendor quotes and contracts, County ordinances and Administrative Codes, Florida statutes, and Federal law. They also handle the various financial and tax reporting required by Federal and State law related to vendor/contractor payments, which includes 1099 reporting to the IRS. Why work for us? Position Duties:
Maintain accurate knowledge of Clerk and County offices and their functions Know and understand lifecycle of incoming documents from vendors Run weekly Obiee “Invoice aging” report and address aging invoices with each department. Run weekly Obiee “Pre-Check Run Reports” and notify AP Clerks of needed Data entry corrections. Import daily interface batches from Clerk and County departments to include Recording, Payroll, Court Refunds, Del Tax refunds, Odyssey refunds, Utility and Toll refunds. Personally contact ACH vendors to confirm bank information prior to activating ACH payment status within the financial software address book. Monitor Lee Clerk ACH Deposit “Inbox” Accurately keypunch vendor invoice information into our accounting financial software. Reconcile monthly vendor statements Keep current with and knowledgeable of applicable: State Statutes, IRS regulations, Lee County Administrative Codes, relevant legal opinions, and any other local, state, and federal rules, regulations, and laws Review all returned checks and request updated mailing information. Note check images of actions taken Perform with consistent accuracy and timeliness Other duties and/or special projects as assigned Qualifications Education, Experience & Certification(s): High School diploma or equivalent Two years of accounting or bookkeeping experience required using current industry accounting software, JD Edwards preferred Two years clerical experience required Two years of customer service experience required
Knowledge, Skills & Abilities:
Accurate keyboarding, data entry and 10-key skills required Working knowledge of Oracle EnterpriseOne software preferred Basic knowledge of Microsoft Word, Excel and Outlook Proficiency in business English and business math required Excellent organizational, time and task management skills required. Attention to detail is required Ability to work in a fast paced environment with stringent time constraints Ability to communicate effectively, both orally and in writing Ability to assist and train others within knowledge areas Effective interpersonal skills, strong work ethic and professional demeanor are required Use tact in sensitive situations, maintain confidentiality of restricted files, and maintain a courteous attitude at all times Demonstrate proficiency with operations and general care of the PC, printers and other required office equipment Ability to work effectively in a group or independently Work is performed under minimum supervision; requires initiative and independent judgment Ability to work extended hours
