59880 Department University Business Administrators – Facilities Responsibilities Responsible for performing accounting professional support services for new construction and renovation projects, both major and minor. Responsible for budgetary control and oversight of the business cycle for assigned construction/renovation projects. This includes providing guidance to Project Managers and adhering to contract requirements. Ensures budgetary control by reviewing expenditures for assigned capital projects, both major and minor, whether funded by PECO, Carryforward, auxiliary, or any other University funding type. Prepares, administers, and reconciles assigned project budgets for reporting to Project Managers and administration. Manages purchase orders to ensure contract compliance. Reviews Guaranteed Maximum Price (GMP) proposals and purchasing requests with Project Managers and enters requisitions in SpearMart. Controls receipt and disbursement of funds for the supplier to be paid. Tracks the amount of contingency remaining in a contract change order. Verifies invoice to the procurement document (PO, ITN Contract, etc.) to ensure the supplier is billing correctly. Responsible for researching and resolving payment issues with suppliers, ensuring corrections have been made. Enters data into Facilities Project Management shadow system (CPPM). Reviews and initiates the approval process of project pay applications, invoices, and change orders for accuracy and contract compliance. Receipts pay applications/invoices in OMNI. Serves as a liaison between Project Managers and other agencies and departments, including Architects, Engineers, and Contractors. Interprets University policies and provides recommendations for Planning, Design & Construction. Serves as backup for other Accounting Specialists in Planning, Design & Construction. Updates project status and accounting details in CPPM. Prepares and disseminates financial reports and review of project budgets with Project Managers. Qualifications A Bachelor’s degree and two years of experience; or a high school diploma or equivalent and six years of experience. (
