JOB DESCRIPTION JOB GOAL

To provide for the successful disbursement of payments for the District in a timely, accurate, fiscally responsible and efficient manner.

QUALIFICATIONS

High School Diploma or approved equivalency diploma. Minimum of three (3) year of successful experience in bookkeeping and/or the maintenance of fiscal records. Comparable amount of training and experience may be substituted for the minimum qualifications.

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of bookkeeping principles and procedures. Ability to apply such knowledge to work situations. Knowledge of regulations and policies controlling fiscal record keeping. Knowledge of modern office practices, procedures and equipment. Ability to make mathematical calculations with reasonable speed and accuracy. Ability to maintain accounting records and prepare reports. Ability to serve the public and answer questions relating to the operation of the unit. Ability to use word processing skills for correspondence. Ability to create and develop spreadsheets. Working knowledge of AS/400 system and of JD Edwards A/P software. Ability to use Excel, E-mail and Word proficiently. Ability to use a 10-key pad/calculator for data entry. Possess good telephone communication and customer service skills. Ability to plan, organize and prioritize activities related to assignment. Ability to utilize a decision making process in the resolution of major problems.

PERFORMANCE RESPONSIBILITIES

Receive, sort and verify invoices and purchase orders and process them for payment as required. Maintain filing system on assigned purchase orders, unpaid invoices, statements and paid vouchers. Reconcile check runs with invoices and sort invoices for issuing of checks. Reconcile monthly statements for vendor accounts. Identify any problems with invoices and report to supervisor when necessary. Review travel vouchers and check request for all required information and signature prior to paying as required. Maintain a filing system of invoices to track payment status. Distribute weekly and monthly reports to appropriate personnel as required. Enter and track budget amendments as required. Reconcile open accounts receivable with the general ledger. Prepare and enter budgets and budget amendments. Prepare work orders, sales orders and purchase orders. Ensure adherence to good safety standards. Maintain confidentiality regarding school/workplace matters. Exhibit interpersonal skills to work as an effective team members. Model and maintain high ethical standards. Represent the District in a positive and professional manner. Demonstrate initiative in the performance of assigned responsibilities. Respond to inquiries and concerns in a timely manner. Communicate effectively with students, parents, staff, administrators and vendors. Keep supervisor informed of potential problems or unusual events. Follow federal and state laws as well as School Board policies, rules and regulations. Demonstrate support for the School District and its goals and objectives. Prepare all required reports and maintain all appropriate records. Maintain expertise in assigned area to fulfill project goals and objectives. Participate successfully in the training programs offered to increase skill and proficiency related to assignment. Review current developments, literature and technical sources of information related to job responsibility. Perform other tasks consistent with the goals and objectives of this position.

PHYSICAL REQUIREMENTS
Light Work:

Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force as needed to move objects.

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with the District’s approved compensation plan. Length of the work year and hours of employment shall be those established by the District.
