Job Description

Description We are looking for an organized and detail-oriented Accounting Assistant to join our team in Ocala, Florida. This long-term contract position offers an excellent opportunity to contribute to a dynamic manufacturing environment by providing essential accounting and administrative support. The ideal candidate will excel at processing financial transactions, maintaining accurate records, and efficiently managing communication with vendors, customers, and internal teams.

Responsibilities:
  • Review, verify, and process invoices with accuracy and attention to detail.
  • Manage invoice approvals for non-purchase order vendors, ensuring proper coding and timely data entry.
  • Facilitate the setup of new vendors by requesting and verifying necessary documentation.
  • Monitor accounts receivable and accounts payable inboxes, addressing inquiries promptly to improve response times.
  • Respond to internal and external requests for financial information in a thorough and timely manner.
  • Collaborate with vendors, customers, and departments to resolve billing and payment-related issues.
  • Record and reconcile organizational credit card transactions, ensuring collection of receipts and proper documentation.
  • Utilize accounting software to maintain organized financial records and support high-volume invoicing.
  • Assist with auditing tasks and bank reconciliations as needed. Requirements

  • Strong knowledge of accounts payable (AP) and accounts receivable (AR) processes.
  • Ability to manage high-volume invoicing efficiently, handling 200-300 invoices per week.
  • Solid verbal and written communication skills for effective collaboration and correspondence.
  • Experience with credit card transaction processing, reconciliation, and receipt collection.
  • Familiarity with finance administration and basic auditing practices.
  • Exceptional organizational skills and the ability to prioritize tasks in a fast-paced environment.
  • Attention to detail and accuracy in financial record-keeping and data entry.
