Role Overview:
The Accounting Specialist is an integral part of our finance team, responsible for overseeing accounts payable duties, ensuring accurate financial records, and supporting various accounting functions. The role involves vendor management, processing invoices, reconciliations, preparing financial reports, and maintaining historical records. The ideal candidate will have expertise in accounting principles, proficiency with accounting software (QuickBooks online), and a deep understanding of GAAP standards.
Key Responsibilities:
Accounts Payable & Vendor Management:
Set up and maintain vendor and tenant accounts. Track and manage 1099 compliance for vendors and contractors. Perform Three-Way Matching (Purchase Order, Invoice, and Payment). Open and process daily mail for incoming invoices. Manage and track payments, prepayments, and expenditures.
Reconciliations & Reporting:
Reconcile processed work by verifying entries and comparing system reports to balances. Prepare balance sheet reconciliations and journal entries. Produce monthly financial reports for internal use. Audit employee and contractor reimbursements.
Financial Operations & Compliance:
Ensure accurate filing of purchase orders, invoices, and statements. File monthly tax reports and maintain accurate records. Monitor and track office inventory, ensuring timely reorders as necessary. Track city and state permit renewals to ensure compliance.
Process Improvement:
Maintain a proactive approach to meeting deadlines and ensuring compliance.
Qualifications & Skills:
Accounting Knowledge:
Strong understanding of accounting principles and GAAP. Skilled in balance sheet and general ledger reconciliation. Experienced with double-entry bookkeeping and journal entries.
Software Proficiency:
Familiarity with accounting software such as QuickBooks online
Accounts Payable & Payroll:
Knowledge of accounts payable, receivable, and payroll processes.
Financial Reporting & Taxation:
Experience preparing financial reports, including bank reconciliations and tax filings.
Communication & Organizational Skills:
Strong attention to detail and ability to manage multiple tasks efficiently. Excellent communication skills for interacting with vendors and tenants.
