The ideal candidate will be responsible for maintaining accurate financial records, ensuring compliance with accounting standards, and providing essential support for our financial operations. This role is crucial for the smooth functioning of our organization and requires a strong understanding of accounting principles and practices. The portfolio consists of 20 entities. Duties

  • Accounts Payable – enter all invoices into Quickbooks and print checks.
  • Accounts Receivable – enter all payments received into Quickbooks and then deposit checks via Remote Desktop Deposit Machines.
  • Enter mortgage payments (currently 16) on a monthly basis by company into Quickbooks.

Update Mortgages Spreadsheet in Excel on a semi-annual basis. Print and mail monthly distribution checks to partners Print and mail monthly rent invoices for all tenants Enter rent increases for specific tenants and update Rent Rolls on a monthly basis Work with property managers to reconcile and produce end of the year Common Area Maintenance charges for all tenants. Record annual insurance invoices in Quickbooks for all properties and print checks Record annual Real Estate Tax invoices in Quickbooks for all properties and enter online payments Work with CPA to send all related information for the production of Annual Tax Returns for each company. Post Closing Entries by company from the CPA such as Depreciation Expenses, Security Deposits, etc. Produce bi-weekly Payrolls and pay Payroll Taxes. Keep track of the check stock and order more when necessary for Accounts Payable. Prepare and submit the Annual Report to the State of Florida for all companies. Record all ACH deposits and bank charges by company on a monthly basis in Quickbooks for reconciliation of bank accounts. Scan all bank reconciliations by company and save them in system. Print management fee checks for all companies on a monthly basis. Preparation and submission of the 941 Tax Form on a bi-weekly basis and quarterly. Preparation and submission of the RT-6 quarterly Enter and produce annual bonus payroll by December 15th. Preparation and submission of Sales Tax monthly for all companies. Maintain general ledger accounting by recording all transactions accurately and timely. Conduct bank reconciliation to verify that bank statements align with company records. Utilize QuickBooks for managing accounts and generating financial reports. Prepare journal entries to reflect all financial transactions in the accounting system. Assist with governmental accounting tasks as needed, ensuring compliance with relevant regulations. Skills Proficiency in balance sheet reconciliation and general ledger accounting. Strong experience with QuickBooks and any additional property management software is highly desirable. Company is open to shifting to a property management software. Knowledge of account reconciliation techniques and accounts payable management. Understanding of governmental accounting principles is a plus. Ability to prepare accurate journal entries and maintain organized financial records. Excellent attention to detail and strong analytical skills are essential for success in this role.
