Board of Directors Position Summary:
We are seeking a highly experienced and detail-oriented Bookkeeper for a Miami-based condominium. The ideal candidate will have 3+ years of proven experience in a similar role within a Florida condominium association, and be well-versed in condominium financial operations, Florida condominium law, and reserve fund requirements. The Bookkeeper will manage Accounts Payable (AP), Accounts Receivable (AR), collections, monthly financial reporting, budgeting, and variance analysis, while maintaining organized financial records and providing top-tier service to residents and board members.
Key Responsibilities:
Accounts Payable / Accounts Receivable /
Collections:
Process and track all vendor invoices, payments, and reimbursements accurately and on time. Manage Aging Reports for both AP and AR, ensuring timely resolution of outstanding balances. Apply homeowner payments, manage delinquent accounts, and initiate collection processes per Florida statute and association policy. Coordinate with legal counsel for lien filings and collection proceedings as necessary.
Financial Management & Reporting:
Present and analyze monthly financial reports including income statements, balance sheets, and cash flow summaries submitted by the Accountant. Monitor and report on monthly budget variances, explaining significant differences to management and the board. Support annual budget development, ensuring accurate forecasting of operating and reserve expenses. Maintain and update the general ledger, ensuring accurate and timely entry of all financial transactions. Conduct monthly bank reconciliations and resolve discrepancies. Apply miscellaneous charges and in-house work orders to resident ledgers. Manage payroll processing, ensuring timely and accurate payments to employees.
Reserves & Forecasting:
Understand and assist with reserve fund calculations in accordance with Florida condo law. Track reserve expenditures and assist with long-term capital planning. Ensure proper allocation of reserve versus operating expenses.
Software & Systems:
Use QuickBooks for all bookkeeping functions. Utilize CondoControl (preferred) or comparable condo software for managing work orders, unit owner communications, and financial reports. Maintain digital records per statutory retention requirements and internal policies.
Customer Service & Communication:
Provide timely and professional responses to resident inquiries about balances, charges, and payments. Support the Property Manager and Board of Directors with customized financial data as needed. Attend board meetings upon request to present financial updates or support decision-making.
Requirements:
Education & Experience:
Minimum 3 years’ experience in a condominium bookkeeping or accounting role (Florida experience preferred). Strong understanding of Florida Statutes Chapter 718 and related condo association regulations. Experience with condo budgeting, collections, and reserve management is required. QuickBooks proficiency is required. Experience using CondoControl or similar condo management software is preferred.
Skills & Competencies:
Solid understanding of accounting principles as they apply to community associations. Strong analytical, reconciliation, and reporting skills. Familiarity with aging AP/AR reports, financial audits, and CAM accounting. Excellent communication skills, both written and verbal. Highly organized, detail-oriented, and able to manage multiple priorities. Proficient in Microsoft Excel and Office Suite.
Working Conditions:
On-site office in Miami condominium. May require attendance at evening board meetings or annual member meetings. Collaborative, team-oriented environment with resident-facing responsibilities.
Preferred Qualifications:
Knowledge of Florida reserve study requirements and deferred maintenance planning. Spanish/English bilingual (a plus for Miami-based communities). CAM license is a plus but not required.
