We are in the fire alarm industry in relation to provide service and inspections on fire alarm systems. This role is essential in providing exceptional customer service and administrative support within our office environment. The ideal candidate will possess strong communication skills, a friendly demeanor, and the ability to manage multiple tasks efficiently. Proficiency in is a plus, as it will enhance our ability to serve a diverse clientele. Responsibilities Manage accounts receivable process from invoicing to payment collection . Monitor aging reports and proactively follow up on past-due accounts. Resolve billing discrepancies and disputes in a timely and professional manner. Contact customers via phone, email, and mail to collect outstanding balances. Maintain detailed and accurate records of collection efforts and payment activity. Apply payments in QuickBooks Online and reconcile customer accounts. Work closely with the sales and customer service teams to resolve account issues Generate reports on A/R aging, collection metrics, and cash forecasts Greet and assist visitors in a professional and courteous manner. Perform data entry tasks accurately and efficiently using computerized systems. Assist with administrative tasks such as typing documents, preparing reports, and managing correspondence. Support office management activities to ensure smooth daily operations. Qualifications 2+ years of experience in accounts receivable and collections Strong customer service skills with the ability to communicate effectively with clients and team members. Proficiency in QuickBooks Online (required) Proficient in using office software applications (e.g., Microsoft Office Suite). Excellent time management skills with the ability to prioritize tasks effectively. Bilingual in Spanish is a must. Strong organizational skills with attention to detail in all aspects of work. Ability to work independently as well as part of a team in a fast-paced environment.
