Summary We are seeking a Medical Office Assistant who will also be responsible for accounts Payable to join our team at The Center for Natural & Integrative Medicine. This role is essential in managing financial transactions, verifying and paying bills and ensuring the accuracy of our accounting processes. Other daily duties will be assisting with office flow. Taking calls, making patient appointments, scheduling, front desk duties, checking out patients and any other duties to provide excellent patient service. Responsibilities Process accounts payable transactions accurately and in a timely manner. Maintain organized records of all financial documents and transactions. Reconcile vendor statements and resolve discrepancies as needed. Assist in the preparation of financial reports related to accounts payable. Collaborate with other departments to ensure smooth financial operations. Support month-end closing activities related to accounts payable. Ensure compliance with company policies and procedures regarding financial transactions. Answer calls, making patient appointments, scheduling, front desk duties. Enter patient encounters in billing software, take payment and check out patients. Assist in supplement room with sales, orders and inventory. Qualifications Proven experience in accounts payable or related financial roles. Strong understanding of debits, credits, and general ledger accounting principles. Excellent data entry skills with a high level of accuracy. Ability to manage multiple tasks while maintaining attention to detail. Strong organizational skills and the ability to work independently. We are seeking a detail-oriented and organized Accounts Payable (AP) Specialist to join our team. The ideal candidate must possess strong communication skills in English and be proficient in Excel, and Word. This position requires a high level of professionalism and attention to detail in managing accounts payable functions while adhering to company policies and procedures.

Duties Key Responsibilities:

Process and review all incoming invoices, ensuring accuracy and completeness before submitting for approval. Record and track all payments and ensure timely disbursements to vendors and service providers. Maintain accurate accounts payable records, including filing invoices, payment receipts, and other related documents. Work closely with vendors and internal departments to resolve any discrepancies or payment issues. Assist with month-end and year-end closing processes, including reconciling credit card statements, accounts payable to the general ledger. Prepare and maintain reports for management, such as accounts payable aging, payment forecasts, and expense analysis. Ensure compliance with company policies and procedures regarding payments and financial transactions. Manage payment terms and schedules for various vendors and ensure that payments are made within the agreed-upon timelines. Collaborate with other departments to ensure smooth financial operations and to assist with any AP-related inquiries. Maintain strong professional relationships with vendors, ensuring a high standard of etiquette in communication. Assist patients with supplement orders, check out, scheduling appointments.
