Job Description

Description We are looking for a detail-oriented Accounting Clerk to join our client’s team in Jupiter, Florida. This role is vital in maintaining accurate financial records and supporting essential accounting functions. The ideal candidate will be proficient in QuickBooks, have strong organizational skills, and bring a proactive approach to managing accounts payable, accounts receivable, and payroll tasks.

Responsibilities:
  • Monitor company bank accounts daily to ensure all cash activity is accurately recorded.
  • Maintain and update QuickBooks records to ensure all financial transactions are posted correctly and promptly.
  • Verify payment details from the factoring company and reconcile them with invoice records and load values.
  • Match incoming payments to brokered and company loads, updating payment statuses as needed.
  • Keep a live spreadsheet of factoring payments and outstanding balances for accurate tracking.
  • Organize and download documentation from the factoring portal, addressing discrepancies with the account manager.
  • Post factoring payments to the appropriate jobs in QuickBooks and document any short payments.
  • Investigate factoring chargebacks to identify root causes and work with team members to resolve them.
  • Manage the Accounts Payable inbox, ensuring bills are appropriately routed and processed.
  • Enter vendor bills into QuickBooks, tagging them to the correct accounts or loads, and verify payment readiness. Requirements
  • At least 2 years of experience in accounting or a related field.
  • Proficiency in QuickBooks for efficient financial record management.
  • Strong understanding of accounts payable (AP) and accounts receivable (AR) processes.
  • Excellent data entry skills with a focus on accuracy and attention to detail.
  • Experience in invoice processing and reconciliation.
  • Ability to analyze and resolve payment discrepancies effectively.
  • Strong organizational skills to manage recurring bills and financial documentation.
  • Effective communication skills for collaborating with team members and external vendors.
