This role requires a keen eye for detail, the ability to manage high transaction volumes, and effective collaboration with vendors, operations teams, and finance staff. The Accounts Payable Specialist plays a vital role in maintaining the financial integrity of the business by ensuring proper expense management and adherence to company policies. Essential Responsibilities Invoice Processing Enter purchase orders into the accounting system promptly and accurately. Match invoices to purchase orders and receiving documentation to confirm receipt of goods and services. Review and verify vendor invoices, ensuring accuracy in SKU, quantity, and cost, making note of any short ship, damage, wrong item discrepancies reported by receiving. Payment Processing Prepare accounts payable files weekly for review for payment ensuring all invoices are paid in alignment with vendor’s terms or company policy. Mark invoices paid in accounting system and send payment remittances to vendors. Monitor and address any payment discrepancies or delays. Vendor Management Establish and maintain vendor accounts, including collecting W-9 forms and tracking payment terms and limits. Communicate with vendors to resolve invoice, payment, or account discrepancies professionally and efficiently. Reconcile vendor statements regularly to ensure account accuracy and resolve outstanding balances, including obtaining credit memos where necessary. Operational Collaboration Work closely with the operations and procurement teams to address discrepancies in purchase orders, receiving documents, or invoices. Monitor distribution center-specific expenses such as freight, shipping supplies, and warehouse utilities. Support the finance team in tracking and managing operational costs. Compliance and Reporting Ensure compliance with company policies, internal controls, and applicable tax regulations. Assist in the preparation of month-end and year-end closing tasks related to accounts payable. Process Improvement Identify opportunities to improve accounts payable processes, especially in managing high transaction volumes and vendor relationships. Collaborate with cross-functional teams to implement streamlined workflows and automation solutions. Requirements High school diploma or equivalent required; associate or bachelor’s degree in accounting, finance, or a related field preferred. 3+ years of experience in accounts payable, preferably in a logistics, fulfillment, or distribution environment. Proficiency in Quickbooks Online. Experience with other accounting software (e.g. SAP, Oracle) a plus. Proficiency in advanced Microsoft Excel skills (formulas, pivot tables, VLOOKUPs, etc.) for data analysis. Strong understanding of accounts payable processes, including purchase order matching and expense coding. Excellent organizational and time-management skills to handle high transaction volumes. Strong communication and interpersonal skills for vendor and internal team interactions.
