The Admin Assistant will support accounts payable – utilities functions, including receiving, processing, verifying, and reconciling invoices in accordance with departmental policies and deadlines. This role will ensure that departmental needs are met and will collaborate closely with the Accounting Department and the field Operations team.

Job Description:

Monitor the Conservice inbox and assign emails based on the property number. Review the list of exceptions for assigned properties, investigate and resolve them as needed. Review the monthly invoice for assigned properties and investigate the reason for any late fees. Participate in meetings and maintain constant communication with third parties handling utilities invoices to ensure the smooth processing of invoices and avoid disruptions. Assist in the onboarding of new property utilities. Communicate with internal operations team members to investigate spikes in usage and submit any required reports to utility vendors, and other topics as needed. Prepare and submit required forms and reports to utility districts. Investigate and address with the third-party processor any disconnection notices timely and effectively. Review invoices for accuracy, confirming that amounts, dates, and vendor details match purchase orders and contracts. Liaise with vendors, accounting staff, and field operations to resolve invoice-related inquiries and discrepancies. Ensure all invoices comply with departmental policies and regulatory requirements. Assist in generating reports related to accounts payable activities for management review. Maintain organized records of invoices and related documents for audit and reference purposes. Provide necessary documentation and support during internal or external audits related to accounts payable. Assist with distribution the daily corporate mail. Make check deposits via online or at the bank in person. Assist with updating various checklists for accounting close cycle Assist with scheduling for Managers. Other duties and project as assigned that support the department goals. Position Requirements Associate degree preferred 1 to 3 years of administrative support experience Experience with Yardi is a plus Strong organizational skills Excellent written and verbal communication skills Proficient in Microsoft Office Fast and accurate data entry skills Positive professional attitude in a fast-paced environment Self-starter with the ability to work independently and as part of a team Ability to prioritize tasks and meet deadlines
