Job Summary:
A high-performing healthcare clinic in Boca Raton, Florida, is seeking a dependable and detail-oriented Bookkeeper to join its administration team. This full-time, non-exempt position plays a vital role in the clinic’s daily operations by managing billing and accounting functions, supporting human resources tasks, and collaborating with leadership to ensure smooth and efficient workflows. The ideal candidate is proactive, organized, and comfortable working in a fast-paced healthcare environment.
Job Responsibilities:
Accounting & Billing:
Enter data and generate invoices using QuickBooks Online
Process patient payments, post charges, and send billing communications
Manage accounts receivable and aging invoices, including collection efforts
Provide weekly billing and productivity reports to management
Conduct daily reviews of productivity and SOAP notes audits
Human Resources & Administration:
Manage time-off requests, staff scheduling, interviewing, onboarding, and compliance
Maintain HR files, oversee license renewals, and assist with hiring/termination processes
Monitor staff email accounts, manage office supplies, and coordinate repair requests
Maintain and update logs for cars, packages, and maintenance issues
Meetings & Communication:
Lead daily billing and HR check-in meetings
Organize and facilitate weekly team meetings with agendas and minutes
Provide end-of-day summary emails and complete a nightly debrief call
Operations & Technology:
Secure clinic premises at closing; manage key holder assignments
Maintain login credentials and perform weekly computer maintenance
Complete daily HR/accounting checklists and oversee general office protocols
Qualifications:
Proven experience in bookkeeping or accounting, preferably in a healthcare setting
Proficiency in QuickBooks Online and Microsoft Office Suite
Strong organizational skills and attention to detail
Excellent communication and interpersonal abilities
Ability to manage multiple priorities and meet deadlines
Experience in HR processes is a plus
Must be available to work Monday-Friday, 9:30 AM-6:30 PM or 10:00 AM-7:00 PM, with availability for alternating Saturdays as needed
