Full Job Description Job Overview :

We are seeking a highly organized, detail-oriented, and versatile individual to fill the position of Bookkeeper and Executive Assistant. This dual position will involve managing financial records and assisting executive leadership with administrative tasks. The ideal candidate will be comfortable with both financial tasks, such as bookkeeping and reporting, as well as handling administrative duties and supporting the smooth operation of the executive office. Inventory management and onsite shipping to fill client orders will additionally be required.

Key Responsibilities:
Bookkeeper Responsibilities:
Maintain Financial Records :

Accurately record financial transactions, including accounts payable/receivable, and ensure all financial data is up to date.

Reconciliation :

Perform monthly bank and credit card reconciliations to ensure all accounts are in balance.

Financial Reporting :

Prepare monthly, quarterly, and annual financial reports for management review.

Purchase Orders :

Generate purchase orders and coordinate the delivery of the items ordered to the clients.

Invoicing :

Generate and send invoices to clients, ensuring proper documentation and timely payment.

Inventory Management :

Input and manage on-site inventory along with shipping materials to clients.

Budgeting and Forecasting :

Assist in budget preparation and track expenses to ensure financial goals are met.

Tax Compliance :

Assist with the preparation of tax documents and filings, including liaising with external accountants during tax season.

Maintain Financial Systems :

Ensure that all accounting software and financial systems are updated and functioning properly.

Executive Assistant Responsibilities:
Executive Support :

Provide high-level administrative support to the executive team, including managing calendars, scheduling meetings, and handling correspondence.

Travel Coordination :

Arrange travel, accommodations, and itineraries for executives, ensuring all details are accounted for.

Document Management :

Prepare reports, presentations, and other documents for executive meetings. Maintain an organized filing system.

Event Coordination :

Organize company events, meetings, and conferences, managing logistics and ensuring smooth execution.

Confidentiality :

Handle sensitive and confidential information with discretion, ensuring compliance with privacy laws.

Project Assistance :

Assist executives with various special projects, tracking progress, and providing logistical and research support.

Office Management :

Oversee day-to-day office operations, including office supplies, equipment maintenance, and vendor management.

Qualifications:
Education :

Bachelor’s degree in Accounting, Business Administration, or a related field preferred. Experience and knowledge can qualify. Quickbooks experience preferred.

Experience :

Proven experience in bookkeeping/accounting. Prior experience as an executive assistant or in a similar administrative role is a plus.

Skills :

Proficient in accounting software (e.g., QuickBooks, Xero) and Microsoft Office Suite (Excel, Word, PowerPoint). Strong organizational and multitasking skills. Excellent verbal and written communication skills. High level of discretion and attention to detail. Ability to work independently and with minimal supervision. Knowledge of office management systems and procedures

Job Type:
