$52.7K – $65.6K a year 1 day ago Qualifications Microsoft Excel Accounts payable Accounting software Finance Analysis skills Data entry Law office Senior level Associate’s degree Accounting Communication skills Full Job Description The Accounts Payable Specialist will be responsible for managing the firm’s accounts payable process, ensuring timely and accurate payments, maintaining records, and supporting the finance team with daily financial operations. The ideal candidate will have experience in accounts payable, strong analytical skills, and the ability to work in a fast-paced legal environment.
Position Reports to:
Controller Overall Responsibilities:
Primary duties will include, but are not limited, to the following:
Invoice Processing:
Review, verify, and process vendor invoices for accuracy, compliance with firm policies, and proper documentation.
Payment Management:
Prepare and issue payments via checks, electronic transfers, and other methods; ensure timely payment of invoices.
Expense Management:
Review and process employee expense reports, ensuring adherence to the firm’s expense policies.
Vendor Management:
Maintain relationships with vendors, address inquiries, and resolve any discrepancies or issues with payments.
Reconciliation:
Reconcile vendor accounts and resolve discrepancies, ensuring accurate and up-to-date records.
Reporting:
Assist in the preparation of financial reports, including month-end closing and year-end audits.
Data Entry:
Accurately enter financial data into the accounting system, maintaining up-to-date and organized records.
Compliance:
Ensure all transactions comply with firm policies, industry regulations, and accounting principles.
Collaborate:
Work closely with the legal team, finance department, and other stakeholders to support overall financial processes and firm operations. Overtime may be required on occasion. Other duties/tasks as assigned.
Required skills:
Technical Skills:
Proficiency in accounting software; advanced Excel skills; experience with legal-specific financial systems is required (Aderant, including Aderant Sierra) Experience with Global Pay / Convera payment system is a plus Experienced and skilled with Chrome River or similar system is required

Strong attention to detail, analytical thinking, and problem-solving abilities.

Ability to adapt to and embrace process improvements, new technologies, and changing workflows to enhance efficiency and accuracy.
Communication Skills:
Excellent verbal and written communication skills; ability to interact professionally with vendors, attorneys, and staff.

Ability to manage multiple tasks, meet deadlines, and prioritize workload in a fast-paced environment.
Education and Experience Requirements:
Education:
Associate’s degree in accounting, finance, or a related field preferred; relevant work experience will be considered.
Experience:
Minimum of 5 years of accounts payable experience, preferably within a law firm or professional services environment. Mental/Physical/Environmental Requirements Position is eligible for hybrid remote working after 90 days employment; requires in office attendance (i.e., not fully remote). Indoor offices with controlled temperatures with limited exposure to noise, dust, chemicals. Mobility within the office including movement from floor to floor. May sit for long periods of time. Crouching, kneeling standing, walking, pushing pulling and lifting occasionally Operating a personal computer, telephone, voicemail and other office equipment on a regular basis. Must be able to express and exchange ideas by means of the spoken word. Must have the ability to convey detailed information in a clear and concise manner through spoken word. Must demonstrate good problem-solving skills. Hours Full-time; 9 am-5:30 pm (one-hour lunch),
