Job Summary We are seeking a detail-oriented Accounts Payable Specialist to join our finance team. This position is responsible for the timely and accurate processing of approximately 50 invoices per week, as well as managing all aspects of company credit card transactions. The ideal candidate will be organized, proactive, and capable of working independently in a fast-paced environment.
Key Responsibilities:
Review, code, and process vendor invoices (approx. 50 per week) in accordance with company policies and terms. Reconcile credit card statements, ensure proper documentation, and allocate expenses to appropriate departments/projects.
- Communicate with vendors to resolve discrepancies and respond to inquiries regarding payment status.
- Match purchase orders, packing slips, and invoices to ensure accuracy and completeness.
- Prepare weekly check runs and process electronic payments.
- Maintain organized and up-to-date records of all accounts payable transactions.
- Assist with month-end closing, including accruals and reconciliation of accounts payable and credit card accounts.
- Collaborate with purchasing, operations, and project teams to ensure timely receipt and verification of goods and services.
- Support audits by providing documentation and responding to auditor inquiries related to accounts payable.
Qualifications:
- High school diploma or equivalent required; associate’s or bachelor’s degree in Accounting or related field preferred.
- 3+ years of accounts payable experience, preferably in a manufacturing or construction environment.
- Proficiency with accounting software (e.g., QuickBooks, Sage, Acumatica) and Microsoft Excel.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and meet deadlines.
- Excellent communication skills, both written and verbal.
- Familiarity with job costing and project-based accounting a plus.
