Location:
This position will be on-site full-time in Chicopee, MA. The position holder will need to be within commuting distance (within 45 min).
Accounting Assistant II Summary:
The Accounting Assistant II will allocate approximately 50% of their time to accounts payable functions where they will be responsible for performing half of the aspects of the accounts payable process for Chicopee under the direction of the Revenue and Capital Accounting Manager. Responsibilities include managing receipt of reports and / or other appropriate documents, obtaining approval by managers where applicable. Review of vendor invoices for accuracy against purchase orders, receipt reports and / or other appropriate documents. Approximately 50% of the Accounting Assistant’s II time will be allocated to recording Capital asset for company under the direction of the Revenue and Capital Accounting Manager. Back up editing time in Epicor to ensure proper costing, and assisting the General Accounting department with preparing schedules, reconciliations and researching various accounting issues.
Accounting Assistant II Duties and Responsibilities:
Verifies that invoices match purchase orders and shipping / receiving and / or other documents, obtains approval by managers where appropriate (e.g. expense reports, phone, legal, audit bills, etc.) in accordance with established company authorization guidelines. Audits invoices for accuracy in quantity, pricing, and proper support, and reports discrepancies to purchasing and / or the vendor. Vouches half of approved vendor invoices for Chicopee and prints posting journals for internal controls. Verifies accuracy for critical fields such as eligible discounts. Resolves vendor issues on an ongoing basis. Prepares and reconciles schedules for accounting audit papers. Capital assets, reconciles CIP in Excel monthly, Activates CIP assets once plants confirm asset is activated, disposes of assets as requested, runs depreciation schedules monthly, prepares Asset Roll-Forwards monthly, prepares Capex Vs Budget monthly, Quarterly reports Disposals and asset additions. Send emails to follow up with plants on what CIP projects have been put in service. Assists in revenue recognition accounting. Edits Time in Epicor once a day. Performs other related department duties as assigned.
Accounting Assistant II Qualification Requirements:
High School Diploma; Associate’s degree a plus. 5 years related experience and / or training in accounting / bookkeeping. Proficiency in using standard software applications (Microsoft Excel, Word, Outlook, accounting software, etc.). Epicor ERP systems experience a plus.
