BASIC FUNCTION
The Office Administrative Assistant and Accounts Receivables must have strong computer skills and the ability to learn quickly. The assistant must also possess excellent interpersonal, communication, and organizational skills, as well as high adaptability to our fast-paced, rapidly growing company. This is a full-time position. _____________________________________________
PRINCIPAL DUTIES
The following are principal duties of the
Office Administrative Assistant and Accounts Receivables:
Leadership and Management
- Represent the Company in a positive and professional manner.
- Work with all personnel and outside contacts to satisfy clients and achieve company goals.
- Providing superior customer service when greeting all visitors, handling phone calls, and responding to all necessary requests by clients, staff members, and all other individuals.
- Identify areas of improvement in the company and assist in creating and implementing solutions.
- Organization and management of office records and materials associated with the business.
- Perform any other duties assigned by your manager Service Delivery
- Have a thorough working knowledge of Company Autotask and QuickBooks systems and provide timely, accurate data within these systems.
- Perform assignments as directed by Management.
- As needed, communicate frequently with customers and other Company personnel
- Work within established guidelines and procedures.
- Maintain work areas in a clean and organized manner. Appropriate professional attire required. Reception
- Answer all inbound calls and direct them accordingly
- Receive and process all inbound and outbound mail and faxes. Invoices, Accounts Receivables and Payroll.
- Maintain and process daily, weekly and monthly product and service invoices.
- Process daily client payments and ensure proper entry / satisfaction against the corresponding accounts receivable items.
- Sustain the effective and timely collection of all client Accounts Receivables
- Review and process employee weekly timesheets and payroll.

REPORTING RELATIONSHIP

QUALIFICATIONS
- Strong communication and customer service skills with attention to detail and follow up.
- Minimum related office experience of 4 years.
- Knowledge in Accounting best practices, policies and procedures.
- Valid Driver’s License, reliable vehicle, current auto insurance policy, with a good driving record.
- Must be able to interact with all levels within the organization and possess strong communication skills with the capability to express ideas and concepts in writing and verbally.
- Works on complex issues where analysis of situations or data requires an in-depth evaluation of variable factors. Exercises judgment within defined procedures and practices to determine appropriate action
- Excellent ability to manage responsibilities with an “outside-the-box” mentality to continuously improve work flow of office.
- Excellent organizational skills and ability to prioritize. Must be able to multitask and work with limited supervision.
- Excellent interpersonal skills; background in customer collections or customer service preferred
- Excellent phone skills a must. Intermediate skills in MS Office (Excel, Word, PowerPoint, QuickBooks and Autotask.
- Must possess high level of initiative and self-sufficiency in completing tasks accurately and efficiently.
- Excellent oral & written communication skills.
- Strong attention to detail and follow up.
- Must possess a positive, high-energy, “team player” attitude.
- Ability to maintain confidentiality with sound decision-making skills based upon company policies and philosophy
MEASURES OF PERFORMANCE
