Accounts Payable Specialist Are you a detail-oriented professional with a knack for numbers and a passion for efficiency? As an Accounts Payable Specialist at Earth Fare, you’ll play a critical role in ensuring our financial operations run smoothly while supporting our mission of promoting healthy living.
Key Responsibilities:
Invoice Management :
Prioritize invoices according to payment terms and cash flow management.
Vendor Reconciliation :
Collaborate with vendors and stores to resolve invoicing or payment issues.
Relationship Building :
Develop and maintain strong relationships with vendors and internal departments.
Cash Flow Forecasting :
Manage the Cash forecast sheet, updating cash flow and payment predictions as payments are made.
Data Entry :
Perform data entry for invoices, ensuring accuracy and obtaining necessary approvals.
Weekly Payments :
Process all invoices on a weekly basis and send remittances.
Statement Reconciliation :
Reconcile uploaded invoices with vendor statements.
Vendor Setup :
Handle new vendor setup, including credit applications, W-9s, Certificates of Insurance (COIs), and ACH deposit forms.
Additional Duties:
Permits and Licenses :
Manage permits and licenses (e.g., business licenses, sales tax certificates, weights/measures)
- handle issuance, renewal, documentation, fee payments, and communication with stores and department heads.
Vehicle Management :
Oversee vehicle-related tasks (e.g., registration, titles, tickets, inspections, tolls)
- coordinate with responsible parties, ensure documentation is up-to-date, and distribute copies as needed.
Insurance Oversight :
Manage insurance policies (e.g., cyber, vehicle, general liability, liquor)
- handle renewals, coordinate with responsible parties, and ensure documentation is accessible.
Sales Tax Processing :
Run reports, file and pay monthly sales tax, and report to landlords.
Property Tax Management :

Qualifications:
Strong attention to detail and organizational skills. Associates or Bachelor’s Degree in accounting of business required 2 years professional experience in accounting specifically in Accounts Payable Excellent communication and relationship-building abilities. Proficiency in accounting software and Microsoft Office (especially Excel). Experience in accounts payable or a related financial role is a plus.
