Bookkeeper/Administrative Assistant Winding Stair Farm 57 Saunders Road, Franklin, NC 28734 We are Winding Stair, originally a hobby farm with pasture-raised chickens and a few vegetable beds, we have evolved into a diverse yet still small-scale farm with a larger retail Nursery and Campground. Our passion lies in supporting our community through initiatives like supplying our own Certified Naturally Grown produce to food banks and serving as a marketplace for local farmers and other businesses. Our campground reflects our commitment to sharing our passion for nature and practicing responsible land stewardship, all while offering a 5-star experience. The nursery (Garden Center) part of Winding Stair Farm is about to enter its seventh year, building upon a solid foundation left by previous owners in 2017. As we have refined our mission, we have found various successes while also learning along the way.

Administrator / Bookkeeper

We are seeking an ideal candidate who is friendly, responsible, quick to learn new systems, and prioritizes both efficiency and accuracy. The information below serves as a general guideline and is not exhaustive. The primary expectation is that you will exercise sound judgment and aim for positive results in all your efforts.

Reports To:
General Manager Responsibilities:

Bookkeeping (QuickBooks Enterprise Desktop): Handle bookkeeping for the nursery, campground, livestock and farm divisions. Enter vendor invoices and process pay bill payments Make weekly bank deposits and manage cash in registers Import transactions and expenses from bank feeds and allocate them to the appropriate accounts Track event registrations and payments in accounting and Excel. Transfer money from other platforms (e.g., PayPal, Firefly, Airbnb)

Payroll:

Track employee time Submit payroll Monitor Paid Time Off (PTO) Process and file bi-weekly, monthly, quarterly, and annual paperwork and taxes. Handle monthly deductions Manage and remit monthly sales and occupancy taxes Ensure proper documentation for credit card purchases Complete all month-end procedures, including the reconciliation of bank statements and journal entries. This includes analyzing detailed sales reports to ensure income and costs are accurately allocated to appropriate accounts. Assistance with annual budget preparation and reporting.

Administration:
Point of Sale Retail Admin Assistant:

Set up new retail items, create purchase orders, and other back-end tasks Collaborate with team members to ensure accurate inventory management Generate weekly/monthly reports, including a sales report, by a weekly deadline Coordinate the annual inventory count Assist with plant deliveries to ensure plant quantities match invoicing and help with price labeling during the delivery itself

Administrative Support:

Provide assistance to the team as needed, including laminating, printing, scanning, and copying. Troubleshoot basic IT issues, phone problems, and web connectivity, coordinating with local/online IT support when necessary. Purchase supplies for the office and other requirements. Maintain Filing System General duties (shared by all, as needed): Greet retail customers, answer phone calls and email inquiries. Check customers out and help them complete the sale Learn basic plant and business knowledge to be able to help customers, when needed.

Key qualifications:

Minimum of 5 years’ bookkeeping experience Solid understanding of Microsoft Excel (or similar) At least 2 years experience with QuickBooks Desktop Detail-oriented with excellent organizational skills Prioritization / workload management Communicate clearly both verbal and written Good organizational skills Problem-solving skills Ability to work well with others Knowledge of plants is a significant advantage

Location and Hours:

This position is based at the Nursery location 40 hours per week
